We are looking to immediately fill an Office Manager position to coordinate administration duties and manage the office books for a busy & growing local Architecture firm.
Duties and responsibilities include creating proposals for potential projects, managing office supplies, greeting visitors and providing general administrative support to our employees.
To be considered for the Office Manager position, candidates should have extensive experience with the Microsoft Office Suite, as well as a strong background in Quick Books.
The Office Manager should be able to ensure the smooth running of the office and help to improve company procedures and day-to-day operations.
Responsibilities- Partner with Principal to create proposals for potential projects.
- Maintain books & records including invoicing clients, paying bills, bank reconciliations and financial statement preparation, and related vendor coordination.
- Serve as the point person for office management duties including mailing, supplies, and equipment.
- Payroll processing biweekly, 401K and insurance management.
- Partner with Principal to update and maintain office policies as necessary.
- Assist in the onboarding and offboarding process.
- Work with the Project Managers to maintain client billing.
- Manage the firm webpage (updating content, professional photography, reviewing proper display/loading)
- Manage job sign installation, removal, and maintenance
- Quick Books Time, Time Keeping/Project Software
- Knowledge of office administrator responsibilities, systems, and procedures
- Proficiency in Microsoft Office Suite
- Excellent time management skills and ability to multi-task and prioritize work
- Attention to detail and problem-solving skills
- Excellent written and verbal communication skills
- Strong organizational and planning skills in a fast-paced environment
- A creative mind with an ability to suggest improvements
