Office Administrator/ Coordinator
Some days will be loud and fast. Other days, you will spend an hour on the phone helping one nervous client take a deep breath.
That's the job. People don't call an investment advisory office when things feel simple, they call when they're planning for retirement, worried about a market dip, or trying to make sense of a statement that just doesn't add up to them. You'll be the calm, familiar voice on the other end. The one who remembers their name, their spouse's name, and that they're nervous about their daughter's wedding costs.
The one who makes a complicated, sometimes intimidating world feel a little more human.
We're looking for someone warm, organized, and detail-oriented to be the first point of contact for our firm. You'll greet clients, keep our office running smoothly, and manage our CRM so nothing — and no one — falls through the cracks. It's a role built for someone who finds real satisfaction in being the person others can count on.
This is a stable, long-term administrative position, not a stepping stone to an advisory or licensed role. There's no built-in track for advancement — what there is, is the chance to become genuinely great at something that matters to real people, every single day.
Your Day...
- Greet clients warmly in person and by phone, creating a professional and welcoming first impression
- Answer, screen, and route incoming calls; manage general office email and voicemail
- Schedule and coordinate client meetings and manage advisor calendars
- Maintain and update client records in our CRM system, ensuring accuracy and consistency
- Prepare meeting spaces, materials, and refreshments for client visits
- Handle incoming and outgoing mail
- Process paperwork such as account forms, correspondence, and filing (physical and digital)
- Support advisors and staff with administrative tasks as needed
- Always maintain confidentiality of sensitive client and financial information
- Prior experience in a front desk, receptionist, or administrative role (financial services or professional office experience a plus, but not required)
- Comfortable learning and working within a CRM system
- Excellent communication skills and a polished, professional phone and in-person manner
- Strong organizational skills and attention to detail
- Ability to multitask and prioritize in a fast-paced office environment
- Discretion and sound judgment when handling confidential information
- Proficiency with Microsoft Office (Word, Excel, Outlook)
- Reliable, punctual, and comfortable with a consistent in-office schedule
