Department Administrator Part-time

Location:

Greenwood, South Carolina (on-site).

Reports to the Marketing Project Manager.

The Part-Time Department Administrator plays a vital support role within the marketing team, ensuring smooth execution of daily operations and campaign logistics. This position is responsible for managing the marketing email inbox, coordinating business card orders, maintaining inventory of promotional materials, and assisting with courier and event-related tasks. The role also includes clerical and administrative duties such as recordkeeping, invoice tracking, and internal mailings.

The ideal candidate is organized, detail-oriented, and proactive, with a willingness to contribute to team discussions and build skills in campaign execution and media relations.

Key Responsibilities Marketing Email Inbox Management

Monitor shared inbox, triage and respond to incoming requests, maintain a log of assignments and completion statuses, and ensure proper escalation of unclear requests.

Business Card Coordination

Fulfill business card orders using approved vendors, manage templates, route requests for formatting edits or approvals, and assist with related invoicing.

Inventory and Materials Support

Track, restock, and organize physical marketing materials and promotional items across multiple locations. Maintain inventory spreadsheets, ensure materials are labeled, and help with basic logistics for reorders.

Courier and Event Support Tasks

Assist with local deliveries and pickups of materials or merchandise; support pre-and post-event logistics as needed, while following time and safety guidelines.

Clerical & Administrative Tasks

File physical and digital records, manage internal printing and mailings, log marketing invoices in the budget tracker, and assist with basic recordkeeping for team assets and materials.

Skill Building

Attend team meetings and contribute to discussions on campaign execution and media relations.

Education and Experience
  • High school diploma or equivalent. An associate or bachelor's degree in marketing, business, communications or related field preferred.
  • Relative experience will be considered.
Abilities and Skills
  • Must be proficient in Word, Excel, PowerPoint, Outlook.
  • Self-motivated possessing a high level of initiative.
  • Ability to work independently.
  • Excellent organizational skills and attention to detail.
  • Excellent verbal and written communication skills, including effective listening and public relations skills.
  • Ability & willingness to travel in the Upstate for deliveries or events.
