As an Onsite Administrative Assistant at AMS, you're the operational backbone of our construction site. Reporting to the Onsite Project Manager, you'll handle a broad range of administrative duties while playing a crucial role in ensuring smooth operations and maintaining a safe working environment on site.
You'll manage correspondence, filing, documentation, and reporting while coordinating meetings and appointments and communicating across departments and third parties to assemble and prepare documents. Beyond day-to-day administration, you'll sign in new hires, verify employment eligibility, conduct orientation sessions, and coordinate safety training to ensure all personnel are current with mandatory protocols. WhatYou'll Own
- Handle correspondence, filing, and documentation, and generate standardized reports as needed.
- Schedule and coordinate meetings and appointments.
- Maintain and update files, spreadsheets, and logs with current data, and distribute as appropriate.
- Maintain electronic and hard copy filing systems and retrieve documents as needed.
- Communicate with various departments and third parties to gather and provide information for reports and documents.
- Process entries and statistical information including expense reports, timesheets, GL entries, and spreadsheets.
- Perform general administrative and clerical functions including copying, printing, scanning, filing, and faxing.
- Sign in new hires, ensure all necessary paperwork is completed, and verify employment eligibility with proper documentation filing.
- Conduct orientation sessions for new hires, providing information about site policies, procedures, and expectations.
- Coordinate and facilitate safety training sessions, ensuring all personnel are up to date with mandatory safety protocols, and maintain records of all training and certifications.
- High school diploma or equivalent.
- Proven experience in an administrative role, preferably in a construction or industrial environment.
- Intermediate to advanced proficiency in Microsoft Word, Excel, PowerPoint, and Outlook.
- Mature, professional, and personable with a polished delivery on all assignments.
- Ability to handle confidential information with the utmost discretion.
- Strong written and verbal communication skills with the ability to represent the company professionally.
- Strong follow-through skills and above-average proofreading skills with a history of being accurate and thorough.
- Associate's degree or relevant certification.
