Position: Ministry Assistant for Student Ministry

Position Overview

The Ministry Assistant for Student Ministries is responsible for connecting students and families with the Lord and each other. This person will help to coordinate and provide resources that enhance the discipleship development of the student ministries. They will coordinate connections among students, adult volunteer leaders, and parents, fostering communication and administrative systems with the latest technology. Excellent interpersonal skills are needed to recruit and coordinate volunteers, assist students and parents, and collaborate with other ministries.

Job Description

Hours Requirement: 40 hours a week

Days Requirement:
Sun‑Thurs (7.5 hours a day)

Time Preferences: M‑Th (9:00 a.m. – 4:30 p.m.)

Skills Required
  • Proficiency in Microsoft Word, Excel, PowerPoint, and email distribution lists; ability to use social media for communication.
  • Willingness and ability to learn appropriate technology and systems for student ministry communication and attendance.
  • Excellent interpersonal skills for recruiting and coordinating volunteers, working with other ministries, and assisting students and parents.
  • Passion for the spiritual growth of the student ministry and willingness to engage in the discipleship process.
Weekly Programming
  • Coordinate prep for weekly programming, managing volunteers, preparing substitutes, and acquiring necessary supplies.
  • Communicate with the Student Ministry team to order and distribute materials for Wednesday or Sunday programming.
  • Participate in weekly student programming and assist the Student Ministry team throughout setup, programming, and cleanup.
  • Assist staff, volunteer teachers, and other volunteers before, during, and after programming to ensure efficient operation.
  • Attend monthly Student Ministry Partnership Committee meetings and follow up on assigned tasks.
  • Coordinate with weekly volunteers for student programming and their weekly needs—including background checks, curriculum, and materials.
  • Coordinate volunteer care and appreciation for all ministry programs.
Administrative Needs
  • Coordinate with the Communications Director to advertise weekly Student Ministry needs through church email and social media for regular programming and special events.
  • Implement a follow‑up system: add new attendees, send welcome letters and emails to newly registered students and parents, and communicate missing students for programming.
  • Follow up on student decisions, including salvation decisions and baptisms.
  • Manage and submit disbursement forms and monthly credit card statements for special events and weekly programming.
  • Maintain contact information and email distribution for all volunteers, ensuring background checks are completed.
  • Order curriculum and handle administrative matters related to Sunday School, Sunday Night, and Wednesday night programming.
  • Coordinate with various ministries under Student Ministry, input events on the church calendar, and communicate setup requests for each event.
  • Meet weekly with the Student Pastor to discuss calendar and upcoming ministry needs.
  • Respond to phone calls and emails in a timely fashion.
Special Events
  • Assist the Student Pastor in planning, preparing, and communicating for Special Events, the yearly Student Ministry calendar, and logistics follow‑up.
  • Coordinate set‑up requests for each event, volunteers, room setup, and calendar integration with other ministries.
  • Maintain an Excel spreadsheet of registered students and required forms for each event.
  • Other tasks and duties as assigned.
Qualifications
  • A committed Christian with beliefs and practices compatible with Mount Vernon Baptist Church.
  • Ability to communicate clearly and effectively with Student Ministry staff, volunteers, and families.
  • Ability to utilize technology to maintain organized records and reports.
  • Preferred:
    Two years or more of experience working with students in school, local church, or camp ministry settings.
