Position Summary:

The Assistant Registrar supports the daily operations of the Registrar’s Office and assists in maintaining accurate, timely, and confidential student academic records. This position provides direct service to students, faculty, staff, and other stakeholders while supporting institutional processes related to registration, transcripts, student records, reporting, and academic administration.
The Assistant Registrar works closely with the Registrar and other campus offices to ensure that student records and related processes are completed accurately and in accordance with institutional policies, procedures, and applicable regulations. The position requires strong organizational skills, attention to detail, professionalism, and the ability to work effectively both independently and as part of a team.

Duties & Responsibilities:

Student Records and Registrar Operations
  • Process incoming and outgoing official transcripts in accordance with institutional policies and established procedures.
  • Review, process, and maintain student record documentation accurately and in a timely manner.
  • Process Change of Major and Withdrawal forms and update student academic records as required.
  • Provide assistance with routine Registrar’s Office functions and student record inquiries.
  • Serve as a backup to the Registrar and assist with Registrar’s Office responsibilities as needed.
  • Maintain confidentiality and security of student records in accordance with institutional policies and applicable privacy requirements.
  • Assist with identifying and resolving discrepancies or issues involving student records.
Catalog and Academic Support
  • Assist with the development, review, maintenance, and publication of the annual ASUMH catalog.
  • Coordinate with academic departments and campus offices to obtain and verify catalog information.
  • Assist with ensuring catalog information is accurate, current, and consistent with approved institutional policies and programs.
Reporting and Data Support
  • Assist the Registrar with institutional, state, federal, and other required reports.
  • Assist with maintaining accurate records and documentation supporting institutional reporting requirements.
Admissions Support
  • Provide cross-departmental support during periods of increased admissions activity or other operational needs.
  • Assist with reviewing, organizing, and processing student documentation as assigned.
Customer Service and Campus Support
  • Provide professional, courteous, and timely customer service to students, faculty, staff, and the public.
  • Respond to questions regarding transcripts, student records, withdrawals, changes of major, and other Registrar’s Office processes.
  • Explain institutional procedures and direct individuals to the appropriate campus office or resource when necessary.
  • Work collaboratively with Admissions, Financial Aid, Advising, Academic Affairs, and other campus departments.
  • All other duties as assigned.

Knowledge/Skills/Abilities:

  • Knowledge of record-keeping procedures.
  • Knowledge of the principles and practices of mathematics and statistics.
  • Knowledge of work-related subject areas.
  • Knowledge of computers and software applications.
  • Ability to conduct research and compile data into a report form.
  • Ability to establish and maintain filing systems.
  • Ability to operate standard office equipment.
  • Ability to analyze documents to determine compliance with rules, regulations, and procedures. Ability to communicate both orally and in writing

Minimum Qualifications:

  • Associate degree from an accredited institution.
  • Demonstrated ability to provide excellent customer service.
  • Strong organizational and time-management skills.
  • Ability to work effectively both independently and as part of a team.
  • Strong attention to detail and accuracy.
