Overview

We are recruiting a Payroll Coordinator for our client to manage semi-monthly payroll for a 600+ employee workforce. This role requires a high-precision professional capable of navigating the complexities of multi-union and non-union payroll within Paycom.

Responsibilities
  • Execute full-cycle payroll in Paycom, including all earnings, deductions, fringe benefits, 401(k), and taxes.
  • Conduct daily timecard reviews and rigorous pre/post-submission audits to eliminate discrepancies and ensure proper reporting.
  • Maintain the employee database, ensuring accurate pay rates, PTO accruals, and reporting structures.
  • Respond to and process all court-ordered garnishments and withholding notices.
  • Leverage system capabilities to develop automated management reports and identify process improvements.
  • Provide payroll training for new hires/supervisors and resolve employee inquiries with high customer service standards.
  • Process accurate payroll for employees, ensuring compliance with regulations and company policies.
  • Verify timesheets, employee records, and payroll data; resolve discrepancies.
  • Prepare and distribute payroll reports using Excel (pivot tables, VLOOKUP, etc.).
  • Communicate payroll information in both English and Spanish to employees.
  • Assist with benefits enrollment, changes, and vendor coordination.
  • Deduct and manage union dues, garnishments, and other payroll deductions.
  • Stay updated on payroll laws and tax regulations; ensure compliance.
  • Handle payroll tax filings (e.g., W-2s, 1099s) and maintain documentation.
  • Collaborate with HR for new hire integration and termination pay.
  • Ensure accuracy in final paychecks, including vacation and sick leave payouts.
  • Assist in payroll system improvements and special projects.
  • Maintain confidentiality and accuracy of all payroll records.
Requirements
  • Experience:

    5+ years of hands‑on, full‑lifecycle payroll experience in a unionized environment.
  • Software:
    Proficiency in Paycom (highly preferred) and Advanced Excel (formulas/algebraic concepts).
  • Education:

    Bachelor’s degree preferred, or 3–5 years of advanced administrative experience.
  • License:
    Valid CA Driver’s License and clean MVR.
  • Compliance:
    Deep knowledge of federal/state wage and hour laws and deposit requirements.
