Overview
Objective: To provide support to the Quality Enhancement Office (QEO) in RCSI Bahrain in the organisation and administration of departmental activities. This role is an integral part of the QEO Team and would suit a new graduate preferably in administration.
Reporting to: Head of Quality and Academic Development
Principle Accountabilities- First point of contact in the department for general enquiries.
- Dealing with queries in an accurate and timely manner.
- Providing support with implementing successful activities, day-to-day administrative and office/Head support.
- Support services/product procurement, payee forms, invoices and PO’s, sourcing quotations.
- Contribute to the maintenance of effective and robust administrative systems.
- To file and maintain up to date records, reports, plans and computerised databases.
- Complying with statutory legislation and university rules.
- Representing the best interest of RCSI and RCSI Bahrain at all times.
- Coordinate logistics and documentation for internal and external reviews.
- To provide administrative assistance in data collection and recording/ inputting data.
- Maintain timelines, schedules and communication with review panels and stakeholders.
- To provide administrative support for meetings, setting agendas and minute taking.
- Assist in maintaining financial/tracking systems for professional development activities.
- Assist in the administration of the staff seminar series/ professional development activities.
- Maintain the VLE and website presence for the QEO.
Person Specification:
- To have a flexible approach to work and to be able to adapt to change.
- To present a professional, confidential and supportive team approach to work in the QEO.
- Ability to perform administrative and organisational duties under supervision.
- Time management skills.
- Excellent written and verbal communication skills.
- Commitment to personal and professional development.
- Be computer literate including Microsoft Office suite and Outlook email.
- Proficiency in spoken and written Arabic is essential.
- Flexibility to work outside of office hours as/when required.
- Enthusiasm & drive to succeed in continuing to deliver the vision of the RCSI brand and university.
