Description:

This role supports the Luxembourg booking location—one of the key hubs for the US & Europe International Private Bank COO team—and is responsible for delivering end‑to‑end operational support across Trade & Payment (T&P) and Account Maintenance (AM) activities transitioned from Lux to India. The position plays a critical role in ensuring high‑quality execution of daily operations including instruction handling, scanning, static data review, container set‑up, manual statement generation, and DWO post‑payment reporting.

The role also supports process governance by maintaining data accuracy, , and adhering to established control frameworks.

In addition, the role contributes to broader COO activities such as business analysis, change coordination, and cross‑location workflow alignment. It requires close collaboration with Relationship Managers, Front Office, Luxembourg teams, and other internal stakeholders to ensure timely processing, efficient issue resolution, and an enhanced client experience. The position further supports reporting, KPI preparation, follow‑ups, and continuous improvement initiatives to drive scalability, operational efficiency, and service quality within the PB Centre India model.

Your key responsibilities:
Trade & Payment and Account Maintenance Responsibilities
Perform timely daily scanning and codification of transaction‑related emails and upload instructions into relevant systems

Manage the shared mailbox, route instructions appropriately, and send daily updates to Relationship Managers

Provide accurate information on maturing loans and term deposits; prepare and complete required templates

Support follow‑ups with Lux teams for pending/exception items

Compile monthly KPI reports, populate templates, and distribute reports to stakeholders

Assist with auto roll‑over processing for term deposits, ensuring 4‑eyes controls remain intact

Execute Renewal Reminder Service by proactively notifying Front Office Team on upcoming loan and time deposit maturities

Static Data Quality & Completeness Review
Review and capture client static data for accuracy and completeness

Ensure consistent client data required for assessments, reporting, and downstream processes

Identify missing or inconsistent data proactively

Container Set‑Up
Create and maintain client containers within Account Maintenance workflows

Manual Statement Generation
Prepare manual statements using pre‑defined templates

Preparation of client statements

Ensure timely delivery

Post‑Payment Reporting
Prepare weekly post‑payment reports

Share reports with Relationship Managers and perform follow‑ups regarding observations or required actions

Align reporting with Risk Management team review cycles and support root‑cause resolution of missing data

Collaboration & Service Delivery
Strengthen coordination between India and Luxembourg teams to support a unified operating model

Improve turnaround times for Account Maintenance and Trade and Payment activities while maintaining process quality and audit compliance

Enhance client experience through accurate static data, timely reminders, clean documentation, and seamless reporting

Your skills and experience
Attention to Detail  – Ability to review static data, verify completeness, and ensure accuracy across Account Maintenance /T&P processes (1–2 years)

Email & Instruction Handling  – Experience managing shared mailboxes, processing Front Office / Stakeholder instructions (1–2 years)
