The Administrative associate will provide essential operational support to ensure the smooth day-to-day functioning of the gallery. The role is primarily administrative and detail-oriented, requiring strong organizational skills and efficiency.
Key responsibilities include:
- Managing daily correspondence (email, inquiries, logistics)
- Assisting with invoice preparation, billing, and basic accounts coordination
- Organizing contracts, consignment agreements, and documentation
- Supporting exhibition logistics, artwork documentation, and archiving
- Coordinating shipping paperwork and liaising with logistics partners
- Creating PDF catalogues for clients
- Preparing invoices, price lists, and internal documents
- General office administration and clerical duties
Qualifications
- Strong written and verbal communication skills
- Excellent organizational and time-management abilities
- Proficiency in Microsoft Office (Excel and Word)
- Familiarity with Adobe Suite (Photoshop, Acrobat) preferred
- Prior administrative or clerical experience required
- Interest in contemporary art is a plus, but strong administrative skills are essential
- Ability to multitask and work independently
