About the Role
We are looking for an Operations & Data Analyst to manage business data, maintain accurate reports and trackers, analyse operational performance, and provide meaningful insights to support management decisions.
The role will work closely across Operations, Sales and Marketing, with responsibility for pulling data from different teams and systems, consolidating it, analysing performance and highlighting important business insights.
The ideal candidate is analytical, organised, detail-oriented and proactive, with strong hands-on knowledge of Excel/Google Sheets and the ability to work across multiple business functions.
Key Responsibilities
Data Management & Reporting
* Pull and consolidate data across Operations, Sales and Marketing from different teams, platforms and business systems.
* Collect, organise, clean and validate data to ensure reports are accurate and up to date.
* Maintain structured trackers, dashboards, MIS reports and management reports.
* Ensure strong sheet hygiene through correct formatting, formulas, dropdowns, validations, naming conventions and duplicate checks.
* Cross-check and reconcile information across multiple reports and data sources.
* Coordinate with teams to collect missing information and ensure timely updates.
Operations Data & Analysis
* Track and analyse operational data including order processing, production, inventory, dispatch, delivery, returns, exchanges and other key operational metrics.
* Identify delays, exceptions, recurring issues, process gaps and operational inefficiencies.
* Monitor operational KPIs and highlight areas requiring immediate attention.
* Maintain action trackers and follow up on pending operational issues.
Sales Data & Analysis
* Pull and maintain daily, weekly and monthly sales data.
* Track sales performance, orders, revenue, conversion, customer trends and other relevant sales KPIs.
* Analyse sales trends and identify gaps, opportunities and areas of improvement.
* Reconcile sales data across different sources and ensure reporting accuracy.
* Provide management with clear observations and insights from sales performance.
Marketing Data & Analysis
* Pull and consolidate data from marketing channels, campaigns and platforms.
* Track key marketing metrics such as traffic, leads, enquiries, campaign performance, customer acquisition and conversions.
* Maintain marketing performance trackers and dashboards.
* Analyse campaign and channel performance to identify what is working, what is not and where improvements may be required.
* Coordinate with the marketing team/agency to ensure data is collected and reported accurately and on time.
Business Insights & Management Reporting
* Analyse daily, weekly and monthly business performance across Operations, Sales and Marketing.
* Track KPIs, trends, delays, exceptions, gaps and areas requiring attention.
* Prepare structured reports and data summaries for management and review meetings.
* Convert raw data into observations, insights and actionable recommendations.
* Highlight unusual trends, inconsistencies or potential business risks proactively.
* Support management in making data-driven decisions.
Documentation & Process Management
* Maintain SOPs, process documentation, meeting notes and action trackers.
* Keep reporting systems and trackers organised and easy for teams to use.
* Follow up on key action points and ensure timely closure.
* Help improve reporting processes, data collection systems and business dashboards.
* Identify opportunities to reduce manual work and improve reporting efficiency through basic automation.
