Overview
We’re seeking an organized, dependable, and detail-oriented Sales Administrator & Transaction Coordinator to join our boutique real estate and mortgage team. In this key support role, you’ll manage transactions from contract to close, ensure compliance accuracy, and keep communication flowing smoothly between clients, agents, and lenders. This is a great opportunity for someone who loves systems, thrives in a fast-paced professional environment, and takes pride in ensuring every detail is handled with care.
You’ll also contribute to office administration, client appreciation initiatives, and light marketing tasks that help our brand deliver a first-class experience.
- Upload and manage files in Sky Slope, Arive, or other transaction platforms.
- Communicate proactively with clients, agents, title companies, and lenders to maintain progress.
- Track file progress, follow up on outstanding items, and maintain accurate timelines.
- Ensure all documents meet brokerage, lender, and regulatory compliance standards.
- Prepare and send documents for electronic signature and maintain transaction logs.
- Coordinate real estate and mortgage transactions from contract to close.
- Serve as the main point of contact for clients, agents, and lenders.
- Ensure all documentation is accurate, compliant, and submitted on time.
- Track key deadlines, manage checklists, and maintain organized transaction files.
- Assist with administrative duties, including reports, presentations, and communications.
- Support client experience activities such as thank-you cards, gift baskets, and event preparation.
- Collaborate with leadership to improve processes and deliver exceptional client service.
- Strong understanding of compliance requirements for real estate and mortgage files.
- Professional, integrity-driven, and team-oriented mindset.
- Familiarity with Sky Slope, Arive, or similar platforms is preferred.
- Previous experience in real estate, mortgage processing, or transaction coordination.
- Proficiency with Google Workspace (Docs, Drive, Sheets, Gmail, Calendar).
- Strong organizational and time management skills.
- Excellent written and verbal communication.
- Professional demeanor and positive attitude.
- Experience in real estate, mortgage, or related office administration preferred.
- Tech-savvy and comfortable using CRMs, Google Workspace, and digital document systems.
- Detail-oriented, proactive, and dependable team player.
Compensation: $40,000 per year plus bonus opportunity
