The person in this position must dress in a professional manner and demonstrate a happy, helpful attitude in greeting students, parents, employees and the public in general; use correct grammar, articulate clearly; be confidential; follow directions; work cooperatively with staff; possess broad range of adequate secretarial/clerical skills; be computer literate, organized, committed to detail and accuracy; be trustworthy and have or be able to quickly learn basic accounting procedures.

Must have vehicle available for use during working hours.

Physical Demands

The person in this position must be physically and verbally active and interactive throughout the day; must maintain intellectual, sensory and physical abilities for effectively managing the school office and providing for the safety of students, employees and patrons; must be emotionally mature and able to cope with stress appropriately. This person must be able to tolerate smells and chemicals commonly associated with schools.

Depending upon assignment from the principal, some school secretaries administer first aid and monitor the clinic for children. This person therefore, may occasionally come in contact with bodily fluids and need to practice universal precautions. This person must be able to work effectively in an open office or have a close physical proximity office arrangement and be able to tolerate frequent interruptions and changes in work orders;

be flexible with time requirements; and able to provide own transportation during performance of duty.

Essential Job Functions

The person in this position serves as manager of the school office, supervises personnel assigned to the office, oversees the management policies and general business operation of the office including light bookkeeping and serves as secretary for the School Principal. Other job functions include:

  • Manage the school office as directed by the School Principal.
  • Maintain friendly and efficient office environment for students, staff, parents and other visitors in person or by telephone.
  • Supervise personnel assigned to the office.
  • Acquire the services of substitute teachers and, if directed by the School Principal, substitute custodians. This responsibility may involve frequent telephone calls to and from home.
  • Keep ledger on school accounts by entering deposits, withdrawals and transfers.
  • Collect, write receipts and prepare monies for deposit.
  • Prepare and post requisitions.
  • Verify bills, make copies and prepare checks for payment.
  • Reconcile bank statements, checkbook and ledger.
  • Maintain business records and prepare weekly payroll transmittals.
  • Maintain inventory of office materials and office equipment.
  • Monitor, acquire and submit in a timely manner required personnel and business reports including but not limited to a leave form for every staff absence (i.e. sick, personal, professional, TDL, etc.), reports of student and adult accidents/injuries, Tennessee Employer's First Report of Work Injury, field trip and bus requests, in-service points, time sheets, etc.
  • Assist with the welcoming and registration of new students and their parents.
  • If assigned to do so, assist with meeting the needs of sick or injured children (i.e. notification of parents, checking for lice, administering first aid, dispensing medicine in accordance with system policy and the directions of the child’s physician, man the clinic as needed, etc.)
  • Issue admission slips, tardy slips and early dismissals.
  • Assist with the receipt, maintenance and transfer of permanent records.
  • Assist with school store and maintaining school store supplies as needed.
  • Provide secretarial services to the School Principal.
  • If directed, run errands to Post Office, bank, Central Office and other area locations as needed.
  • Maintain supply of standard forms needed for general school operation.
  • Serve as receptionist for the school, if directed.
  • Exercise discretion and use good independent judgment.
  • Report to the School Principal all matters which are believed to be potential problems and/or issues which may require his/her attention.
  • Reports and Employment Terms

    Staff Relationship: Reports directly to the School Principal.

    Terms of Employment: Eleven (11) months, salary and benefits set annually. Non-Exempt.
