Document Control Specialist
Lellyett and Rogers is seeking a Document Control Specialist to add to our growing team within the Facility Information Services division. Our specialists help manage the flow of information for +1,500 healthcare facility construction projects. We work closely with Architects, Engineers, Contractors, and facility teams to collect and distribute facility project documentation. These documents are critical to the success of daily healthcare operations and the overall maintenance of the facility.

As a Document Control Specialist, your efforts will be keeping patients and staff safe in the built environment by providing document management services for healthcare facilities across the United States. We aren't the ones curing cancer, but we are helping the ones that do!
Document Control Responsibilities- Communicate with industry professionals to collect drawing packages and closeout documentation
- Audit closeouts and supply appropriate personnel with a list of remaining items
- Regularly follow up with architects and contractors through closeout completion
- Maintain closeout tracking spreadsheet
- Prep documents and perform quality assurance prior to posting to the document portal
- Ensure full package is supplied
- Rename files appropriately, bookmark O&M Manuals, and run optical character recognition
- Perform data entry by filling in all necessary attributes for project document uploads
- Distribute digital information among project teams
- Educate portal users on navigating their digital information
- Consistently evaluate client needs and report to supervisor
- Provide and maintain requested personnel with access to specific facilities, projects, and/or documents within the portal
- Track down missing documents and files by contacting responsible parties
- Access third party platforms based on customers needs to collect, post, distribute project information
- Supply billing information to the customer service representative team
