This is a full-time, on-site Administrative Assistant role based in Greater Houston. The Administrative Assistant will provide day-to-day administrative support to office leadership and security operations while maintaining organized records and supporting efficient office operations. Responsibilities include answering and directing phone calls, greeting visitors, handling incoming and outgoing mail, maintaining accurate records, preparing documents and reports, and assisting with general office administration.
The Administrative Assistant will play a key role in supporting new employee orientation and onboarding activities, helping create a positive and organized experience for new team members. This position will work closely with departments across the organization to ensure information is communicated accurately and administrative processes run smoothly.
The ideal candidate is a self-starter who can work independently, prioritize competing responsibilities, and effectively multitask in a fast-paced environment. Strong organizational, communication, and problem-solving skills are essential, along with the ability to adapt to changing priorities, maintain confidentiality, and provide exceptional service to employees, clients, and visitors.
Qualifications- Strong administrative and clerical capabilities, including Administrative Assistance and Clerical Skills.
- Professional communication abilities, including clear written and verbal Communication and courteous Phone Etiquette.
- Experience with Executive Administrative Assistance or supporting leaders and managers in a fast-paced environment.
- Proficiency with standard office software (e.g., Microsoft Office or Google Workspace) and basic data entry skills.
- Excellent organizational skills, attention to detail, and the ability to manage multiple tasks and deadlines.
- Customer service mindset, with a professional and respectful approach to colleagues, clients, and visitors.
- Ability to work reliably on-site in Greater Houston, maintaining punctuality and dependability.
- High school diploma or equivalent required; additional coursework or training in office administration is a plus.
- Prior experience in security, facilities, or service-oriented industries is beneficial but not required.
