Summary
SUMMARY: The Administrative Assistant assists with daily office tasks which include the following: use of a computer, use of a copy machine, answering phone calls, responding to emails, preparing daily and weekly reports, and other various tasks as assigned throughout the season.
Essential Duties and ResponsibilitiesESSENTIAL DUTIES AND RESPONSIBILITIES: This list of duties and responsibilities is not all inclusive and may be expanded to include other duties and responsibilities as management may deem necessary from time to time.
- Answer and make phone calls in regards to guest questions and concerns as well as checking voicemails daily
- Use computers daily and familiarize and understand the Core Tech system and Microsoft Office Suite
- Use Core Tech to ensure reports are done on a daily and weekly basis.
- Familiarize and understand the use of the Xerox machine to print, make copies, and scan documents.
- May be asked to drive a golf cart occasionally as needed to pick up/deliver items or assist with employee/guest transport
- Attend meetings and take detailed notes to distribute information to the necessary employees.
- Maintain work areas keeping them neat and organized.
- Must be able to handle multiple tasks in a fast-paced environment
- All other duties assigned by management
EDUCATION and/or
EXPERIENCE:
(Level
3) High school diploma or general education degree (GED); or one to three months related experience and/or training; or equivalent combination of education and experience.
LANGUAGE
SKILLS:
(Level
3) Ability to read and interpret documents such as safety rules, operating and maintenance ructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.
MATHEMATICAL
SKILLS:
(Level
2) Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
REASONING ABILITY: (Level
4) Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
- Valid Tennessee Driver’s License or ability to obtain one within 30 days of employment
Skills and Abilities
- Good written and oral communication skills
- Proficient in Microsoft Office Suite
- Basic understanding of landline phone with voicemail system
- Responsible, organized, professional, and friendly
