Tennessee Oncology, a leading community‑based cancer care provider located in Nashville, Tennessee, seeks a Scheduling Coordinator to manage complex patient appointment scheduling across our clinics, radiology, procedures, and virtual tumor boards.

Responsibilities
  • Answer phone calls and greet patients courteously.
  • Route calls/messages to the appropriate department.
  • Perform patient check‑out workflow following policy and procedures.
  • Interpret orders and treatment plans into appointments, following complex scheduling guidelines.
  • Distribute patient documents and provide scheduling/preparation details.
  • Track patients in the EHR to ensure no missed appointments.
  • Follow up on cancelled and missed appointments and document appropriately.
  • Schedule internal and external appointments, including referrals, radiology, procedures, hospital admits, virtual tumor boards, etc.
  • Run daily reports to identify patients with unscheduled orders.
  • Perform tasks related to governmental, insurance, and quality initiative programs (e.g., patient engagement portal communication, pre‑certification coordination, diagnostic order faxing for study patients).
  • Follow SOP for external follow‑ups.
  • Demonstrate excellent customer service and respond promptly to all stakeholders.
  • Communicate with staff using instant messaging.
  • Scan documents into the EHR when necessary and send portal invites.
  • Perform other duties as assigned.
  • Travel/float to other clinics for business needs.
  • Maintain confidentiality of patient information and adhere to all Tennessee Oncology policies.
Qualifications
  • High school graduate or equivalent (GED accepted).
  • Two or more years of professional office experience with customer service.
  • Electronic medical records experience preferred.
  • Experience with electronic medical scheduling preferred.
  • Knowledge of medical terminology preferred.
  • Strong computer skills (Windows, MS Office, email).
  • Excellent verbal, listening, and written communication skills.
  • Ability to work productively in a fast‑paced environment.
  • Strong organizational skills and attention to detail.
  • Excellent customer service skills.
Physical Requirements
  • Ability to travel to clinics when necessary.
  • Ability to lift 25 pounds.
