Job Summary/Responsibilities
With the support of the administrative team and Practice Managers, assist to ensure the smooth and successful appointments of all new patients.

Duties Include- Sets up treatment rooms for all new patient exams
- Welcomes new patients/parents promptly with a warm smile
- Ensures new patient experience is enjoyable every single time
- Checks all new patient charts to ensure info was correctly entered upon scheduling
- Has Ipad ready for new patients that have not filled this out prior to appointment
- Responsible for new patient paperwork to ensure it has been completed. Map in fields from the online questionnaire into chart. Ensures process is compliant with HIPPA laws.
- Completes New Patient Xrays for appointment
- Gives accurate and correct pricing based on treatment plan recommendations. May include expected insurance amount if insurance has been previously verified for the specific patient.
- Works numbers for new patients and sets up comfortable monthly payments that align with office guidelines
- Keeps records of all contracts, fees, referral, and other important information
- Helps to fill the schedule when needed by communicating with the Front Desk Coordinators
- Ensures accurate charting and insurance information has been entered correctly for Insurance Coordinator to submit once contract is signed.
- New insurance information to be collected and scanned into chart by obtaining a copy of front and back of insurance card as well as half sheet filled out.
- Sign contract with patient or parent before but no later than banding date. Have contract to Insurance coordinator by next working day.
- Answers any questions patient might have regarding treatment
- Works with Practice Managers to ensure all contracts and documents are up to date, gathers needed information, and update as changes take place.
- Attend all staff meetings, front office meetings, and daily huddles.
- Representing the practice in a positive way inside and outside of the office.
- At least 1 year of treatment coordinating experience is required
- be self-motivated, organized, and have a positive attitude
- possess great understanding of dental terminology
- have excellent communication and written skills
- have excellent public relations skills
- work well with patients and team
- be experienced in delivering high-level customer service
- Committed to the position arriving on time daily and staying late as needed.
- Excellent computer skills including Microsoft Word, Excel, Teams, and Outlook
