Financial & Administrative Responsibilities

  • Develop and implement financial policies, processes, and procedures, including effective control mechanisms.
  • Develop, maintain, and enforce costing standards and financial regulations.
  • Identify and recommend opportunities to enhance efficiency in financial control processes and systems.
  • Oversee financial transactions, including accounts receivable and payable, cash flow management, banking arrangements, and variance analysis.
  • Ensure accurate, effective, and timely processing of payroll.
  • Manage the overall revenue assurance process by monitoring revenues and ensuring proper allocation of funds across business units.
  • Maintain accurate financial records and prepare reports for submission to senior management.
  • Prepare and review vendor contracts, ensuring all documentation is complete and properly maintained.
  • Manage purchasing activities and supplier payments in accordance with contractual terms, conditions, and company policies.
  • Collaborate with other functions to communicate finance and procurement plans and support the achievement of budget objectives.
Human Recourse
  • Provide guidance and counseling on HR policies and procedures.
  • Actively participate in recruitment activities, including preparing job descriptions, posting vacancies, and managing the hiring process.
  • Develop and implement effective onboarding programs for new employees.
  • Assist in performance management processes, including evaluations and development plans.
  • Support the handling of disciplinary and grievance matters in line with company policies.
  • Maintain accurate and up-to-date employee records (contracts, attendance, personal data) in compliance with legal and internal requirements.
  • Review employment terms and working conditions to ensure full legal compliance.
  • Participate in company activities and initiatives as required by management beyond direct job responsibilities.
Facility Management & Legal Compliance
  • Oversee the management and maintenance of company facilities to ensure a safe, clean, and efficient working environment.
  • Coordinate with service providers for maintenance, cleaning, security, and other facility-related services.
  • Ensure all equipment and infrastructure are functioning properly and maintained according to company standards.
  • Monitor facility budgets and control related costs effectively.
  • Ensure compliance with health, safety, and environmental regulations across all facilities.
  • Ensure the company complies with all applicable laws, regulations, and internal policies.
  • Review, draft, and manage contracts and legal documents in coordination with relevant stakeholders.
  • Monitor regulatory changes and advise management on required actions to maintain compliance.
  • Liaise with external legal advisors, government entities, and regulatory authorities when required.
  • Maintain proper documentation and records to support audits and legal requirements.
  • Support internal and external audits and ensure timely resolution of compliance-related issues.
Supporting Activities
  • Mentor team members to support their project initiatives.
  • Contribute to the enhancement of team competencies and skill sets necessary for the growth of the company.
  • Provide expert support and guidance for the company Senior management.
  • Engage in business development efforts for the company and its clients.
  • Participate in sales and marketing initiatives related to the Business Consultancy Unit.
  • Oversee the management and preparation of RFQ, RFI, and RFP response documents.
  • Actively participate in company-wide activities beyond your direct responsibilities as required by management.
Qualification
  • Bachelor’s degree in a related field.
  • Minimum 8+ years of relevant experience in corporate services, HR, finance, administration, or operations.
  • Strong leadership, communication, reporting, and stakeholder management skills.
  • Good knowledge of compliance, procurement, payroll, budgeting, and company policies.
