JOB SUMMARYA Sheriff Account Clerk II performs a variety of accounting and clerical work activities involving the Jail inmate commissary accounting system. Duties involve the performance of inmate account maintenance; inmate billing for room and board and accounts payable and receivable activities involving the use of an independent checking account requiring considerable independent judgment. A Sheriff Account Clerk II is distinguished from Account Clerks II by both the difficulty and amount of account-related tasks performed.
An employee in this class prepares receipt and disbursement vouchers; posts to general and subsidiary accounts, makes standard journal entries of a more complex nature; distributes costs to various accounts and performs other related duties as assigned. The Sheriff Account Clerk II position is responsible for all aspects of the Inmate Trust Fund under Public Act 20 of 1943 (MCL 129.91).
RECEIVED
Employees in this class work under general supervision performing standardized operations and following established bookkeeping procedures. A Sheriff Account Clerk II has considerable responsibility for developing and initiating work details and is called upon to exercise independent judgment.
SUPERVISION EXERCISEDEmployees in this class may be responsible for providing general guidance and instruction on the daily departmental operations.
TYPICAL EXAMPLES OF WORK PERFORMED- Prepares receipt and disbursement vouchers;
- Posts to general and subsidiary accounts;
- Reviews and processes invoices for determination of proper billings;
- Prepares vouchers authorizing payment of various operations' accounts;
- Makes standard and general journal entries of a more complex nature;
- Handles all aspects of Inmate Commissary Ordering, including weekly orders, cross referencing with Medical Department and the Kitchen;
- Prepares periodic state and county reimbursement reports;
- Prepares bank deposits, statements and makes daily reports of funds received;
- Reconciles statements monthly with disbursement records;
- Distributes costs to various operating accounts;
- Balances monthly billings and accounts;
- Responsible for bonds, forms and checks coming from Deputies;
- Reviews and verifies documents, reports and records for accuracy and conformance to departmental rules and procedures;
- Responsible for error corrections on Inmate accounts;
- Perform daily check writing and uploading to bank account;
- Monitors records, accounts for potential fraud;
- Authorizes off-site credit card payments made through All Paid system;
- Invoicing and processing vendor payments;
- Prepares and files records alphabetically, numerically or according to subject matter;
- Ordering and tracking of inmate snack bags, updating product information;
- Operates a variety of office machines, including but not limited to typewriters, adding machines, calculators and duplicating machines;
- Performs other related work assigned.
SKILLS AND ABILITIES
A. Required Experience and Training
- Possess an Associate’s degree in a business program or related field from an accredited university, college or business school; AND
- Have a minimum of two (2) years full-time accounting/bookkeeping and clerical experience; OR
- Be a high school graduate or have successfully completed the General Educational Development Test (GED); AND
- Have a minimum of five (5) years full-time accounting/bookkeeping and clerical experience.
Skills and Abilities
- Considerable knowledge of modern office procedures;
- Considerable knowledge of basic clerical activities;
- Considerable knowledge of accounting and bookkeeping practices and procedures;
- Considerable knowledge of modern record keeping management and operations;
- Considerable ability to follow oral and written instructions;
- Considerable ability to perform standardized computations;
- Considerable ability to make routine decisions in accordance with departmental policies and procedures;
- Considerable ability to establish and maintain effective working relationships with supervisors and co-workers;
- Considerable ability to operate a variety of office machines;
- Considerable ability to write legibly.
An employee in this class performs generally sedentary or light physical work activity requiring the lifting of objects weighing thirty-five (35) pounds or less.
