Customer Service Representative - On-Site

Position Overview Reporting to the Customer Service Manager, this on-site role is central to our customer experience and internal communications. You'll directly impact customer satisfaction and operational excellence.

Key Responsibilities:

+ Act as both the first point of contact and primary solution-provider for customer inquiries, including order status, shipping updates, and expediting requests.

+ Respond to RFQs by coordinating with production to confirm pricing and lead times; prepare and deliver formal quotes per company procedures.

+ Accurately process new customer accounts, incoming orders, order changes, and acknowledgments; maintain updated customer database records.

+ Document all interactions, inquiries, and transactions with attention to accuracy and compliance.

+ Proactively communicate with customers and internal stakeholders to provide timely updates on lead times, delivery, and order progress.

+ Problem-solve issues by collaborating cross-functionally with production, sales, and finance teams; oversee RMA and credit dispute processes.

+ Organize digital files and generate reports using Microsoft 365, Quick Books, and other business systems.

+ Continuously support process improvement and assist with additional duties as assigned.

Schedules Available:

+ 8:00 AM - 5:00 PM EST

+ 10:00 AM - 7:00 PM EST

Requirements

Core

Qualifications:

+ Associate degree required; related experience and education will be considered.

+ 2-4 years' experience in customer service (professional or technical/industrial setting preferred).

+ Proven proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).

+ Outstanding communication skills, both written and verbal; strong math skills and data accuracy.

+ Detail-oriented with excellent organizational and time-management abilities.

+ Technical aptitude and basic mechanical knowledge are a plus (not required).

+ Ability to prioritize, multitask, and perform in a fast-paced environment.

+ Bilingual English/Spanish is strongly preferred but not required.
