Overview

The Administrative Specialist serves as the primary receptionist for the Office of the Provost, providing exceptional customer service and creating a welcoming environment for faculty, staff, students, and visitors. This position performs a variety of administrative, secretarial, and office support functions for the Provost and the Academic Affairs team. Additional duties may be assigned as needed.

Responsibilities
  • Serve as the primary receptionist for the Office of the Provost, delivering exceptional customer service to faculty, staff, students, and visitors.
  • Perform administrative, secretarial, and office support functions for the Provost and the Academic Affairs team.
  • Manage office communications and scheduling.
  • Prepare correspondence and maintain records.
  • Assist with special projects and provide general administrative support.
  • Undertake additional duties as assigned.
Qualifications
  • High school diploma or equivalent required; proficiency in Microsoft Office 365 (Word, Excel, Outlook) and related applications.
  • Customer service skills and a commitment to ethical communication practices.
  • Valid driver's license and safe driving history.
  • Bachelor’s degree and work experience in an educational setting.
  • Excellent customer service, interpersonal, and communication skills with the ability to interact professionally with faculty, staff, students, visitors, and external partners.
  • Ability to prioritize tasks, manage multiple responsibilities, meet deadlines, and maintain accurate, confidential records while exercising sound judgment.
  • Proficiency in Microsoft Office and other office technology, with the ability to quickly learn new software and systems.
  • Ability to prepare accurate correspondence and reports, work independently with minimal supervision, and collaborate effectively as a member of the Academic Affairs team while building positive working relationships in a customer-focused environment.
