Venue and Event Coordinator (Full-Time)

Showstopper is seeking an experienced, highly organized Venue and Event Coordinator to protect and grow the foundation of the Showstopper business: our venues. This role reports directly to Debbie Roberts, Founder and National Director, and owns every contract across our 80+ city tour — keeping each one organized and fiscally sound, holding our long-standing venue relationships steady, and moving fast on available space so no sold-out show leaves revenue on the table.
This is the right fit for a coordinator who can manage 80+ concurrent contracts and deadlines without missing a beat, negotiate hard on behalf of each show's bottom line, and be the dependable, familiar voice venues trust year after year. Some of these partnerships run 20 to 48 years deep — this role treats each one as a legacy to protect, taking ownership of the tricky problems that keep every show opening on time, in the right room, at the right price.
Key Responsibilities- Contract Management & Fiscal Oversight
- Own the master calendar and central repository for venue contracts across the full tour — dates, terms, renewal windows, deposits, and deadlines — and drive the 2028 contract cycle on schedule alongside Debbie
- Route contracts through Ensemble's legal team to signature, apply Showstopper's venue and financial guidelines to every show, negotiate pricing and terms, and audit each final bill line by line
- Capacity & Revenue Protection
- Be on standby when the schedule releases each August to expand capacity at sold-out shows within hours, working waiting lists and negotiating additional space or room moves
- Track and report the revenue captured through each capacity win
- Venue Relationships & Sourcing
- Maintain long-standing venue partnerships with regular calls, texts, and post-show debriefs while the experience is fresh
- Continuously scout, visit, and assess new venues and markets, keeping a ready list of replacement options for every at-risk show
- Administrative & Reporting
- Keep venue records, guidelines, and pricing history current, and report to Debbie on contract status, cost variances, capacity wins, and pipeline
- Coordinate with internal show operations so venue details reach the teams that need them on time
- A strong negotiator — you have real financial judgment and are comfortable analyzing show economics
- Exceptionally organized — you have the discipline to manage 80+ concurrent contracts and deadlines without anything slipping
- Dependable under pressure — you're personable with venue contacts and internal teams alike, and ready to move fast the moment a show sells out
- Willing to travel — you're comfortable spending time on the road at venues and shows across the tour
- Experience managing venue contracts, event logistics, or touring operations, with hands‑on negotiation experience
- Comfortable operating independently under tight, time-sensitive deadlines, and willing to travel regularly
The compensation for this position is $60,000 per year, commensurate with experience. A competitive benefits package is provided, including a 401(k) with up to a 4% employer match and health benefit options.
