General ResponsibilityServe as the Administrative Coordinator to the CJIS Major and CJIS Systems Officer (CSO). Provide administrative, operational, and compliance support; manage calendars, documentation, ORI processes, reporting, and serve as the central communications contact and liaison with local, state, federal agencies, and internal units while ensuring compliance with CJIS, federal, and state regulations. Coordinate complex administrative activities without programmatic responsibilities.
Specific Duties- Manage administrative functions, including calendars, correspondence, documentation, signatures, ORI processes, and travel/interview packets.
- Serve as operational communications specialist: triage incoming calls, correspondence, visitors; determine appropriate actions and respond professionally under stress.
- Track and ensure timely/accurate/complete submission of CJIS reports, grants, inspections, and compliance deadlines.
- Stay current on and assist with compliance regarding CJIS, NCIC, federal/state laws, Advisory Policy Board, Compact Council policies, and SLED/CJIS directives and policies.
- Conduct complex special assignments and investigations as directed.
- Perform other administrative duties as required.
- High school diploma and relevant experience in business management, public administration, or administrative services; a bachelor's degree may be substituted for experience.
- NCIC certification must be obtained upon hire if not already certified.
- Must be proficient in Microsoft Office (Excel/Word/PowerPoint) and Adobe software.
- Must be able to exercise sound judgement and discretion in handling confidential/sensitive information.
- Knowledge of office management functions and the ability to interpret and apply CJIS/SLED/State laws, regulations, policies, and procedures when performing duties.
- Must be able to coordinate diverse administrative functions.
- Must be able to handle all public and agency phone calls/inquiries professionally and promptly.
- Work will be performed in an office environment, and may require day/overnight in-state travel with limited out-of-state travel.
- NCIC certification is preferred.
