HR Operations LeadThe HR Operations Lead is a seasoned, professional-level HR generalist responsible for delivering HR operations and serving as the on-site, front-line HR support for all employees and managers. This role ensures the smooth execution of core HR functions, compliance activities, and employee support, contributing to a positive and efficient work environment.
Key Responsibilities- Benefits and Leaves of Absence
- Administer and manage all leave of absence programs.
- Coordinate ADA accommodation requests and track related processes.
- Respond to employment verification requests.
- Enroll employees with benefit carriers and process life event status changes.
- Maintain accuracy of benefit enrollments in HRIS to ensure correct eligibility data.
- Partner with Finance on payroll and benefit-related matters.
- Administer COBRA processes.
- Support open enrollment coordination and communications.
- Process bi-weekly payroll for all employees
- Maintain employee data, including new hire entry and changes.
- Administer performance management and HR learning platforms.
- Ensure accurate and timely reporting (regular and ad-hoc).
- Troubleshoot system and data-related issues with employees, vendors, and Finance.
- Manage and optimize HRIS modules.
- Maintain and communicate company organizational chart.
- Manage HR compliance postings and correspondence with regulatory bodies.
- Prepare and file ACA reports.
- Maintain and audit employee files and documentation.
- Track legal and regulatory updates, updating policies and handbook accordingly.
- Ensure completion of mandatory trainings (e.g., harassment prevention).
- Coordinate immigration processes and documentation.
- Manage workers' compensation claims and documentation.
- Serve as first-line responder for employee questions, concerns, and complaints.
- Facilitate resolution of employee relations issues in partnership with leadership.
- Organize employee engagement activities (e.g., holiday party, team outings).
- Maintain the HR calendar and employee recognition programs.
- Lead the wellness committee and oversee the wellness budget.
- Update and maintain informal engagement channels (e.g., birthday celebrations).
- Support recruiting efforts in collaboration with hiring managers and CI partners.
- Coordinate interview scheduling and candidate communication.
- Maintain recruiting templates, tools, and materials.
- Track and support performance review, goal-setting, and feedback cycles.
- Assign and monitor learning paths and training completion.
- Work with managers to identify and implement development opportunities.
- Coordinate scheduling and participation in internal and external trainings.
- Prepare and manage offer letters, PIIAs, and reference checks.
- Coordinate cross-functional onboarding (HR, IT, Facilities, Safety).
- Conduct HR orientation and benefits/system introductions.
- Conduct exit interviews and coordinate offboarding logistics.
- Process terminations in HRIS and benefit systems; audit across systems for completeness.
- Prepare and review termination paperwork with employees.
- Support separation agreements where needed.
- Close employee files and respond to unemployment claims.
- Participate in cross-functional HR projects.
- Drive continuous improvement across all assigned responsibilities.
- Minimum 5 years of experience in an HR Specialist or HR Generalist role, with increasing responsibility.
- Strong knowledge of core HR functions including benefits, compliance, employee relations, and systems.
- Experience with HRIS platforms (e.g., Paycom, ADP, Bamboo
HR, Paylocity, or equivalent). - Demonstrated ability to build strong working relationships with employees at all levels.
- Excellent organizational and communication skills, with the ability to manage multiple priorities.
