JOB DESCRIPTION

Performs complex clerical and advanced duties, applying accepted accounting and fiscal procedures to the preparation and maintenance of accounting records. Typically performs a combination of tasks, but may specialize in one phase of work such as payroll, accounts receivable, accounts payable, etc. Performs work independently according to standard procedures. Responsible for supervision of office employees and participation in the maintenance of fiscal records for a large University department.

Work may be performed independent of supervision. Reports to assigned supervisor.

QUALIFICATIONS

Completion of at least two years of college coursework in accounting, Associate’s degree in a related field, or business school training is required. Related experience may be substituted for required education on a basis set forth by the Department of Human Resources.

Three years of experience at an Accounting Clerk II level or equivalent is required. Experience in bookkeeping or fiscal accounting, general office procedures, and computer data entry and retrieval is required. Experience in higher education is preferred.

ESSENTIAL JOB FUNCTIONS
  • Work may involve typing/input of various documents and correspondence.
  • May involve preparing and posting payrolls, special reports, receipts, vouchers, journal ledger entries, and log books, etc.
  • May assist supervisor with and/or prepare financial reports as required.
  • May maintain requisitions for purchasing inventory of equipment and supplies.
  • May maintain accounts for departmental budgets and records of budgetary controls.
  • May participate in maintenance of time records, payroll, accounts receivable, accounts payable and other financial records maintained in the department.
  • May balance accounts by running tapes, proofreading, operating CRT, preparing summary of balances and cost information or other reports as required for use in preparing financial reports.
  • May file and maintain clerical records and reports pertinent to accounting and bookkeeping operations.
  • May record expenditures of departmental accounts, initiate and process requisitions for purchases.
  • Review electronic personnel action request forms and time records for accuracy and budgetary conformity.
  • May supervise other office employees in accounting/bookkeeping duties.
  • May verify encumbrances on monthly printouts.
  • NON-ESSENTIAL JOB FUNCTIONS
  • May receive and/or supervise the receipt of payments from students and others for departmentally sponsored activities.
  • May make and receive business-related phone calls and perform departmental accounts research.
  • May assist various university departments and students with fiscal policies and procedures.
  • May supervise student assistants.
  • May handle large sums of money.
  • Performs other related duties as assigned.
  • REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES

    The individual must possess the following knowledge, skills and abilities or be able to explain and demonstrate that the individual can perform the essential functions of the job, with or without reasonable accommodation.

  • Knowledge of, or ability to learn, university fiscal regulations and procedures.
  • Knowledge of, or ability to learn, university policies and procedures.
  • Knowledge of generally accepted accounting principles.
  • Knowledge of general office procedures.
  • Skill in completing assignments accurately and with attention to detail.
  • Ability to operate office equipment, including but not limited to typewriter, calculator, fax machine and computer terminal.
  • Ability to communicate effectively in both oral and written form.
  • Ability to establish and maintain a good rapport with university faculty and staff, students, vendors, and the general public.
  • Ability to work successfully as a member of a team and independent of supervision.
  • Ability to handle large sums of money with a high degree of accuracy.
