Position: Assistant to the Director (Part-Time) - Agriculture

SUMMARY

This is a part‑time administrative position responsible for coordinating and overseeing administrative support operations within the department. It involves assisting with budget planning, forecasting, and monitoring; planning, organizing, and performing a wide variety of administrative activities. The role may supervise assigned staff, including student workers, and requires moderate initiative and independent judgment while working under general supervision. The position reports to the department head.

QUALIFICATIONS

High school diploma or equivalent is required. Bachelor’s degree is preferred. Five years of related experience is required. Experience in general office practices and procedures is required. Experience handling confidential information is required. Experience in higher education is preferred. Candidates who do not meet the experience requirement but have a Bachelor’s degree in a related field may also be considered on a basis set forth by the Department of Human Resources.

ESSENTIAL

JOB FUNCTIONS
  • Assist with budget review and development, post and reconcile accounts, prepare financial reports and cost analyses, verify the accuracy of data and entries, and monitor expenditures to maintain a sound financial status for the department.
  • Initiate and process requisitions for purchases; maintain requisitions for purchasing inventory of equipment and supplies.
  • Handle routine and confidential correspondence.
  • Maintain and review department personnel files.
  • Maintain and update departmental policies and procedures.
  • Organize and maintain a daily schedule of appointments.
  • Schedule, coordinate, and assist with meetings, luncheons, conferences, and other events.
  • Plan, organize, coordinate, and evaluate the administrative operations of the department to ensure compliance with applicable federal, state, and local laws, rules, and regulations and university policies and procedures.
  • Compile statistical data and prepare various studies of departmental activities.
  • Interpret department and university policies and procedures for students, faculty, staff, and the general public.
  • Coordinate records maintenance and retention for departmental administrative operations.
  • Prepare and analyze various special, quarterly, monthly, and ad hoc reports.
  • Liaise with university departments and state agencies concerning administrative and financial operations related to departmental activities.
  • Coordinate office travel and provide oversight of departmental travel.
  • NON-ESSENTIAL JOB FUNCTIONS
  • May receive and/or supervise the receipt of payments from students and others for departmentally sponsored activities.
  • May supervise departmental administrative support staff.
  • May serve on department or campus‑wide committees.
  • Assist with special projects, as assigned.
  • Perform other related duties as assigned.
  • REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES
  • Knowledge of, or the ability to learn, university policies and procedures.
  • Knowledge of administrative and clerical procedures and systems such as word processing, file and records management, forms creation and design, and other office procedures and terminology.
  • Skill in typing with minimal errors.
  • Ability to learn office and university‑specific software.
  • Ability to communicate effectively in both oral and written form.
  • Ability to understand and interpret policies and procedures accurately.
  • Ability to establish and maintain a good rapport with university faculty and staff, students, and the general public.
  • Ability to work successfully as a member of a team.
  • Ability to set priorities and complete assignments on time with high attention to detail.
  • Ability to identify problems, evaluate alternatives, and implement effective solutions.
  • Ability to work with and maintain confidential information.
  • Ability to accurately prepare and maintain records, files, minutes, and reports.
