PositionSummary
The Accounts Payable Specialist will be responsible for managing outgoing payments, processing vendor invoices, and ensuring accurate financial records. This role requires strong attention to detail, proficiency in accounting software, and excellent communication skills to collaborate with vendors and internal teams.
Essential Duties and Responsibilities- Process and post vendor invoices, including subcontractor and supplier invoices.
- Prepare and execute timely payments via check, ACH, or other approved methods.
- Review and verify invoices for accuracy, proper approvals, and supporting documentation.
- Work closely with project managers and procurement teams to resolve discrepancies and ensure proper coding of expenses.
- Maintain and monitor accounts payable reports and aging schedules.
- Reconcile vendor statements and accounts to ensure all transactions are accurately recorded.
- Review, code, and reconcile company credit card transactions, ensuring proper documentation and timely submission of receipts.
- Collaborate with the finance and operations teams to streamline payment processes.

- High school diploma or equivalent
- 1 year of experience in an office setting
- Knowledge in Google Suite
- Intermediate computer knowledge with MS Office including Excel, accuracy with 10 key pad and typing skills needed
- Detail oriented

This position operates in an office environment. This position routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines.
This is a largely sedentary position; however, some filing is required. This would require the ability to lift files, open filing cabinets, and bend or stand as necessary. This position requires use of hands to finger, handle, or feel objects, tools, or controls; reach with hands and arms, talk, or hear. Specific vision abilities required by the job include close vision, distance vision, color vision, peripheral vision, depth perception and the ability to adjust focus.
While performing the duties of this job, the employee is exposed to weather conditions prevalent at the time. The noise level in the work environment is usually minimal.
