To perform complex secretarial, office administration, and public relations assignments; perform related work.
The successful candidate will provide comprehensive administrative and operational support to the department, faculty, staff, and students. This is a half-time (0.5 FTE) position with the option to be based at either the Pocatello or Meridian campus of Idaho State University.
This position is not eligible for new visa sponsorship at this time. Candidates who already hold valid U.S. work authorization may be considered.
Key ResponsibilitiesDepartment Operations
- Coordinate calendars, meetings, travel, communications, reports, and strategic initiatives while managing sensitive information, prioritizing operational needs, and ensuring continuity of office operations.
- Monitor office supplies, equipment, and facility needs.
- Support strategic initiatives.
- Assist with faculty promotion and tenure documentation.
- Onboarding of new hires, faculty, GTAs, and CPI. Attend departmental meetings.
Operational Management
- Plan and coordinate departmental events and special projects.
- Maintain department websites, shared drives, and electronic filing systems.
- Maintain confidentiality for students, personnel and departmental records in accordance with university policies.
Faculty and Student Support
- Serve as the primary point of contact for students, faculty, staff, and external stakeholders.
- Support course scheduling, classroom reservations, and academic and professional program logistics.
- Assist with student services such as advising support.
- Foster a welcoming, professional, and student-centered environment.
Financial, Purchasing, and Resource Coordination
- Support financial and operational activities including budget tracking, purchasing, travel coordination, reimbursements, contracts, and resource management in accordance with institutional policies and procedures.
Perform other duties as assigned.
Minimum Qualifications- Good knowledge of:
Office support functions including word processing, filing, composing a variety of business documents and reception. - Good knowledge of:
Researching, compiling, and summarizing data for reports. - Experience:
Interpreting, applying and explaining complex information such as regulations, policies or services. - Experience:
Independently solving problems/performing liaison activities in a work setting. - Experience:
Coordinating activities requiring complex arrangements.

Using dictation/transcription equipment & taking minutes.
SU minimum for this classification is $19.01/hour, commensurate with education and experience.
