Overview
We’re looking for a detail‑driven Payroll Specialist to support a fast‑paced construction environment with active Federal Defense work. This role is responsible for ensuring accurate, compliant payroll processing across multiple job sites, including prevailing wage projects governed by the Davis‑Bacon Act and related labor standards.
You’ll work closely with HR, project managers, and field supervisors to ensure employees are paid correctly, certified payrolls are submitted on time, and all federal contract requirements are met.
Key Responsibilities Payroll Processing- Process weekly payroll for multi‑state construction crews.
- Review and validate timecards, job codes, cost allocations.
- Ensure accurate calculation of regular, overtime, fringe benefits, and taxable fringe income.
- Maintain payroll records in accordance with federal, state, and DoD requirements.
- Knowledge of Davis‑Bacon Act wage determinations, fringe benefit requirements, and classifications to all covered projects.
- Prepare and submit certified payroll reports accurately and on schedule.
- Maintain updates on wage rates and new classifications. Ensure job sites are using the correct classifications.
- Maintain payroll documentation required for federal contracts, including employee rosters, pay rates, and labor distribution.
- Ensure payroll practices align with contract‑specific requirements.
- Assist with internal and external audits, including DCAA or contracting officer reviews.
- Manages weekly 401(k) submissions, including reconciliation and correction of errors
- Perform 401(k) yearly audits.
- Partner with HR on new hires, terminations, pay changes, and benefit deductions.
- Work with project managers and superintendents to resolve timekeeping discrepancies.
- Support accounting with job‑costing, certified payroll billing, and labor reporting.
- Maintain payroll systems and timekeeping platforms.
- Generate payroll reports for finance, project management, and compliance teams.
- Recommend process improvements to increase accuracy and efficiency.
- 2–5 years of payroll experience, preferably in construction or government contracting.
- Strong knowledge of the Davis‑Bacon Act, prevailing wage requirements, and certified payroll reporting.
- Experience with multi‑state payroll and complex timekeeping environments.
- High attention to detail and strong analytical skills.
- Ability to maintain confidentiality and handle sensitive information.
- Proficiency with payroll software (e.g., Vista by Viewpoint, or similar, LCP Tracker). Preferred.
- Knowledge of fringe benefit administration for prevailing wage projects.
- Prior experience supporting DCAA or federal contract audits.
- Construction industry experience strongly preferred.
