Role Overview
Shafer Vineyards is seeking an exceptional Executive Assistant to serve as a trusted partner to the President & CEO and a central steward of executive operations. This role exists to bring structure, clarity, and momentum to the leadership agenda of one of Napa Valley’s most respected estates.
The Executive Assistant will work closely with the executive leadership team — including Marketing, Global Sales, Direct-to-Consumer, Hospitality, Finance, and Winemaking — to ensure priorities are aligned, initiatives are advanced with intention, and communication flows with elegance and precision.
This position blends executive support, strategic coordination, and refined operational execution. The ideal candidate brings discretion, judgment, and a deep respect for craftsmanship — both in wine and in the way great organizations are run.
Key Responsibilities Executive Partnership- Serve as a strategic and operational partner to the President & CEO
- Support the executive leadership team in orchestration of key priorities
- Act as a central point of connection between the CEO and senior leaders
- Uphold the highest standards of confidentiality and professionalism
- Advance enterprise initiatives across Sales, Marketing, DTC, Hospitality, Finance, and Winemaking
- Translate strategic objectives into structured work plans
- Coordinate cross-functional efforts and monitor momentum
- Support organizational evolution and new initiatives
- Curate leadership communications with clarity and tone
- Ensure consistent flow of information across the executive team
- Support alignment around priorities and budgets
- Maintain rhythm and cohesion in leadership operations
- Prepare and steward the Monthly Executive Summary
- Prepare and collate the Quarterly Board Book
- Manage executive review cycles and timely delivery
- Track board-level actions and commitments
- Plan and execute all onsite and offsite leadership gatherings
- Curate agendas, materials, and experiences
- Ensure events yield clear outcomes
- Lead or support special projects entrusted by leadership
- Conduct research and analysis to inform decisions
- Support onboarding of new executives
- 7+ years of experience in Executive Assistant or senior executive support roles
- Experience in complex multi-functional organizations
- Exceptional organizational and communication skills
- High emotional intelligence and sound judgment
- Experience in luxury brands, wine, or hospitality preferred
- Leadership priorities advanced with clarity
- Executive and board materials reflect polish
- Cross-functional initiatives progress with momentum
- Leadership gatherings are impeccably executed
- Communication is clear and aligned
