Simmons Security and Sound, PLLC is a Burglar and Fire Alarm contractor in business for over 40 years based out of Naples, FL. We are seeking an Office Administrator to join our team! This individual will perform clerical and administrative functions in order to drive company success.

Role Description

This is a full-time 8:00am-5:00pm on-site role for an Office Administrative Assistant located in Naples, FL. The Office Administrative Assistant will be responsible for managing daily administrative tasks, maintaining records, organizing and scheduling appointments, handling phone calls, and providing support to executive staff as needed. Additional responsibilities include performing general clerical duties and ensuring the smooth operation of the office environment.

Qualifications
  • Administrative Assistance and Executive Administrative Assistance skills to effectively support daily office operations and leadership team needs.
  • Strong Phone Etiquette and Communication skills for managing calls, correspondence, and professional interactions.
  • Proficiency in Clerical Skills to manage documentation, organize files, and handle office equipment efficiently.
  • Must be dependable and have excellent organizational as well as customer service skills.
  • Attention to detail and capacity to manage multiple priorities simultaneously.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and other office software
Not required but will be considered a PLUS:
  • Experienced working for a building, electrical or alarm contractor
Responsibilities:
  • Answer inbound telephone calls as front desk receptionist and logging all calls that come in.
  • Track flow of each job site's operations and scheduling jobs, job bids and service calls.
  • Data entry for estimates, agreements and certificates.
  • Draft correspondences, emails and other documents.
  • Check reports and plan and schedule appointments accordingly.
