Administrative Assistant - Golf Course Maintenance
The Golf Course Maintenance Administrative Assistant plays a vital role in supporting the operational efficiency of the Golf Course Maintenance Department. This part‑time position is responsible for managing administrative tasks that ensure smooth communication and coordination between maintenance staff, management, and external vendors.
By providing accurate and timely administrative support, this role helps maintain the high standards of the golf course environment, contributing to an exceptional experience for members and guests. This position requires a detail‑oriented individual who can effectively multitask while fostering a collaborative work environment.
Key Responsibilities- Provide administrative support to the Golf Course Superintendent and maintenance team
- Support the maintenance team by handling administrative inquiries and facilitating communication between departments
- Maintain and organize departmental records, reports, and documentation
- Assist with data entry and maintain spreadsheets
- Support payroll‑related processes, including timekeeping and reporting
- Prepare reports, correspondence, and internal communications
- Maintain filing systems (electronic and paper)
- Answer phones, respond to emails, and assist with general inquiries
- Support special projects and additional administrative tasks as assigned
- Previous administrative or office support experience
- Experience working in golf course maintenance or a related outdoor recreation environment is a plus
- Basic knowledge of golf course operations and maintenance terminology
- Proficiency in Microsoft Office (Excel, Word, Outlook); experience with ADP or similar HR/payroll systems is a plus
- Strong organizational and time management skills
- Excellent attention to detail and accuracy
- Ability to handle confidential information with discretion
- Strong communication and interpersonal skills
- Ability to work independently and as part of a team
- Ability to communicate effectively in English; bilingual in Spanish or Creole a plus
- Ability to sit for extended periods of time
- Occasional standing, walking, and light lifting (up to 20 lbs.)
- Ability to work in an office environment within a golf course setting
- Monday through Friday
- Hours may vary based on seasonal needs
