We are seeking a highly organized, proactive, and discreet Executive Personal Assistant to provide comprehensive personal and professional support to the principals. This role requires exceptional organizational skills, sound judgment, and the ability to manage multiple priorities in a fast-paced environment. The Executive Personal Assistant will serve as a trusted partner, ensuring seamless coordination of schedules, travel, projects, properties, and day-to-day operations while maintaining the highest level of confidentiality and professionalism.
Key Responsibilities Executive & Personal SupportManage highly dynamic calendars, coordinate complex travel arrangements and logistics, prioritize communications, and ensure timely follow-through on action items. Anticipate needs and provide proactive support to maximize efficiency and organization.
Relationship & Vendor ManagementServe as a primary liaison for internal and external contacts, maintaining professional relationships with vendors, contractors, household staff, service providers, and business partners. Coordinate ongoing projects and ensure a high standard of service and execution.
Operations & Asset ManagementOversee the administration of residences, offices, vehicles, and related assets, including maintenance, insurance, registrations, vendor relationships, and operational needs. Support multiple office locations and ensure smooth day-to-day operations.
Project CoordinationProvide administrative and project management support for business ventures, office buildouts, inventory management, merchandise ordering, vendor coordination, and operational setup. Manage special projects and events as needed.
Data & Administrative ManagementMaintain accurate records, databases, contacts, and organizational systems while ensuring sensitive and confidential information is handled with discretion and professionalism.
Qualifications- Bachelor’s degree preferred but not required
- Prior experience supporting ultra-high-net-worth individuals, executives, entrepreneurs, or family offices strongly preferred
- Exceptional organizational, multitasking, and project management skills
- Strong written, verbal, and interpersonal communication abilities
- High degree of discretion, professionalism, and emotional intelligence
- Ability to anticipate needs, solve problems proactively, and work independently
- Proficiency with Microsoft Office, calendar management systems, and travel coordination tools
- Flexibility to accommodate changing priorities and occasional after-hours needs
- Demonstrated ability to manage multiple projects and stakeholders in a fast-paced environment
