As we continue to grow, we re looking for an organized, proactive Operations Manager to become the central hub of our day-to-day operations.

Position Summary

This role is responsible for keeping the business running smoothly by coordinating scheduling, customer communication, billing, project administration, CRM management, and operational follow-up. You ll work closely with ownership, sales, and field technicians to ensure projects stay organized from the initial customer inquiry through final payment.

Responsibilities
  • Coordinate schedules for sales appointments, installations, repairs, and service calls.
  • Ensure technicians have the information and materials needed before each project.
  • Help optimize routing and scheduling efficiency.
  • Identify scheduling conflicts or operational issues before they impact customers.
Billing & Financial Administration
  • Process deposits, invoices, change orders, and payments accurately.
  • Ensure completed work is invoiced promptly.
  • Follow up on outstanding invoices and collections.
  • Match payments to invoices and maintain accurate customer records.
  • Help prevent completed work from going unbilled.
  • Maintain insurance certificates, compliance documents, and project records.
CRM & Sales Support
  • Maintain and update Hub Spot throughout the sales process.
  • Track leads, proposals, and customer follow-up.
  • Assist with proposal preparation and ensure accuracy.
  • Help keep the sales pipeline organized and moving.
Customer Service
  • Answer incoming calls and respond professionally to customer inquiries.
  • Keep customers informed throughout the project lifecycle.
  • Coordinate communication between customers and the field team.
  • Deliver a polished, high-end customer experience from start to finish.
Operations & Project Coordination
  • Coordinate weekly operations meetings.
  • Follow up with team members to keep projects moving.
  • Ensure completed jobs are properly closed out.
  • Help improve internal systems and business processes.
  • Support relationships with builders, designers, contractors, and referral partners.
What Success Looks Like
  • Jobs are invoiced accurately and on time.
  • Outstanding invoices are consistently followed up on.
  • Customers receive timely, professional communication.
  • Scheduling runs smoothly with minimal issues.
  • The sales pipeline stays organized.
  • Projects are completed and closed efficiently.
  • Leadership has clear visibility into business operations.
Qualifications
  • Excellent organizational skills and attention to detail.

  • Comfortable holding others accountable and following up on open tasks.
Preferred
  • Experience in construction, home services, or a field-service business.
  • Quick Books experience.
  • Billing, invoicing, and accounts receivable experience.
  • Hub Spot or CRM experience.
  • Scheduling experience for field technicians or service teams.
  • Project administration experience.
Compensation & Growth
  • Competitive salary:$60,000–$80,000
