Customer Relationship Associate / Specialist
The Customer Relationship individual supports the external Sales Operations by providing high-quality internal and external customer service and accurate order processing for medical device distributors, sales representatives, and customers. This role is responsible for executing day-to-day transactional activities, maintaining accurate records, and ensuring timely responses to customer inquiries. This position plays a key role in delivering a positive customer experience while adhering to established processes and systems.
Key Responsibilities- Serve as a point of contact for distributors, sales associates, and customers for routine inquiries
- Receive and enter customer orders, changes, and returns into company systems accurately and in a timely manner
- Verify order data for accuracy and elevate discrepancies as needed
- Contact customers or distributors to obtain missing or clarifying information
- Provide updates on order status, shipments, and inventory availability
- Document customer interactions
- Assist with processing RMAs and basic complaint intake
- Support resolution of routine customer issues
- Maintain accurate customer, distributor, and order records
- Support onboarding documentation for new distributors, hospitals, and surgeons
- Follow established processes to ensure pricing accuracy and data integrity
- Assist with coordination of inventory returns, including expired or soon-to-expire product
- Generate basic reports and provide data to internal stakeholders as requested
- Support data collection efforts for sales and operations teams
- Identify and elevate recurring issues, data inconsistencies, or process gaps
- Bachelor’s Degree preferred
- 1–3 yrs for Associate or 3–5 yrs for Specialist in sales operations support / customer service
- Medical device industry highly preferred
- Strong attention to detail and organizational skills is a MUST
- Effective written and verbal communication skills
- Proficiency in Microsoft Office (Excel, Word, Outlook) and CRM systems
- Willing and able to work an 11am to 7pm (ET) shift. If located in Central timezone – 10am to 6pm or Mountain or Pacific – 9am to 5pm.
