Job Overview
The Assistant Director of Residences will collaborate closely with the Residential Leader to oversee all aspects of residence operations. This includes providing managerial and administrative support for unit owners, supervising daily activities, maintaining records, and ensuring the residences run smoothly.
Responsibilities- Assist in people management: hiring, training, payroll, scheduling, and performance feedback for the residence team.
- Manage financial responsibilities: annual budget, HOA billing, payment processing, invoice accuracy, and resident spend tracking.
- Serve as the first point of contact for homeowner/tenant needs in the absence of the Residential Leader.
- Coordinate day‑to‑day operations of the residences, including resident events, purchase orders, and new owner orientations.
- Ensure all policies and procedures are understood and signed by residents.
- Act as liaison between residences and hotel/resort departments to secure timely, high‑standard service requests.
- Maintain homeowner profiles, participate in recognition efforts, and liaise with hotel/resort leadership on resident engagement.
- Produce monthly spend reports to demonstrate incremental residence spending at the hotel.
- Handle resident interactions with hospitality and professionalism; resolve complaints and support inquiries regarding property services, events, directions, local attractions, and pre‑arrival needs.
- Stay familiar with legal and governance responsibilities of Property Manager, Owners, and Operator to address conflicts per governing documents.
- Develop profit improvement ideas, policies, and procedures for implementation with approval of the Residential Leader.
- Coordinate preventive maintenance programs and oversee coordination by management.
- Fluent in English (written and verbal); local language an asset.
- Post‑secondary education or equivalent experience.
- Previous luxury hospitality or residential experience preferred.
- Strong mathematical, analytical, and business acumen skills.
