Role Description

Sweeney & Sweeney is seeking a motivated, organized, and dependable Executive & Personal Assistant to the Managing Attorney for a full-time, on-site position in Nashua, NH.

This individual will work directly with the Managing Attorney, providing executive, administrative, clerical, and personal assistance. The role is designed to keep the Managing Attorney’s schedule, communications, documents, priorities, and day-to-day responsibilities organized and running efficiently.

Responsibilities will vary from day to day and may include calendar and appointment management, scheduling meetings, organizing correspondence and documents, preparing files for client meetings and real estate closings, answering and routing phone calls, maintaining records and task lists, completing data entry and filing, and assisting with general office needs.

The position may also include occasional administrative errands, coordination tasks, and other responsibilities beyond routine desk work, as needed to support the Managing Attorney and the office’s day-to-day operations.

This role involves frequent interaction with the Managing Attorney, other members of the firm, clients, real estate professionals, lenders, and outside partners. Because the position may involve access to confidential, sensitive, and privileged information, professionalism, discretion, reliability, and sound judgment are extremely important.

No prior legal experience is required. Training will be provided. We are looking for someone who is capable, organized, eager to learn, and comfortable taking initiative in a professional office environment.

Responsibilities
  • Provide direct executive, administrative, and personal support to the Managing Attorney
  • Manage calendars, appointments, meetings, and day-to-day scheduling
  • Maintain organized task lists and help prioritize deadlines and responsibilities
  • Organize correspondence, documents, records, and files
  • Prepare and organize materials for client meetings, real estate closings, and other appointments
  • Assist with document preparation, filing, scanning, copying, and data entry
  • Answer phone calls and route client and business inquiries professionally
  • Assist with email, correspondence, and general communications
  • Maintain accurate, organized electronic and physical records
  • Coordinate with firm employees, clients, lenders, real estate professionals, and outside partners
  • Assist with general administrative and office-related tasks as needed
  • Assist with occasional administrative errands, coordination needs, and other day-to-day responsibilities as appropriate
  • Handle confidential and sensitive information with discretion
  • Help ensure that priorities, appointments, documents, and follow-up items are completed in a timely manner
  • Take on additional administrative or organizational responsibilities as the role develops
