Project Accounting Specialist

We are seeking a detail-oriented and dependable Project Accounting Specialist to join our Nashville office. This position will support the accounting and financial administration of our commercial construction projects while working closely with our Accounting, Operations, and Project Management teams.

The ideal candidate has a solid accounting foundation, enjoys hands-on accounting work, understands the importance of accurate job-cost information, and is comfortable handling both detailed transactional work and broader accounting responsibilities. We are looking for someone who is organized, accurate, proactive, and willing to take ownership as the position and our Nashville operations continue to grow.

• Maintain accurate job-cost and project accounting information.
• Process and code vendor and subcontractor invoices to appropriate projects and cost codes.
• Review transactions for accuracy, completeness, approvals, and supporting documentation.
• Enter and maintain financial information in Sage, Procore, and other company systems.
• Maintain project cost information, commitments, purchase orders, subcontracts, and change-order records.
• Identify and research discrepancies, missing documentation, and coding issues.
• Reconcile project accounting information between systems, spreadsheets, and supporting documentation.
• Maintain accurate and organized project financial records.

• Process vendor invoices and subcontractor payment applications.
• Verify payment requests against contracts, purchase orders, approved change orders, and supporting documentation.
• Track lien waivers, retainage, and other required payment documentation.
• Assist with vendor and subcontractor account reconciliations.
• Research invoice and payment discrepancies and follow issues through resolution.

• Assist with owner billings and project payment applications.
• Support Schedule of Values and billing documentation as needed.
• Assist with tracking receivables, retainage, and outstanding accounting items.
• Provide accounting support for monthly project financial reviews.
• Assist with job-cost reconciliations and project financial documentation.
• Support Project Managers with accounting information related to their projects.
• Assist with financial closeout, including final billing, outstanding commitments, subcontractor payments, retainage, and required documentation.

• Work closely with the Nashville Operations team and California Accounting team to maintain accurate and timely financial information.
• Communicate with project teams, vendors, and subcontractors regarding missing information or accounting discrepancies.
• Assist with month-end accounting activities and reconciliations as assigned.
• Support audits and provide requested documentation.
• Maintain organized electronic accounting records.
• Take on additional accounting responsibilities as business needs evolve.
