Position SummaryThe Bookkeeper / Project Coordinator plays a critical role in supporting the financial health and operational organization of BC Mason. This individual is responsible for day-to-day bookkeeping activities, financial recordkeeping, and coordination of project-related administrative tasks that ensure smooth communication, documentation flow, and operational alignment. This role is primarily bookkeeping-focused, with responsibilities that support financial reporting, job cost tracking, vendor management, and organized workflow across key business functions.
The ideal candidate is highly organized, detail-oriented, and able to maintain accurate financial records while also supporting project-related processes that keep the team aligned and informed.
Essential Duties and Responsibilities- Maintain accurate and up-to-date financial records, including accounts payable, accounts receivable, general ledger entries, and bank reconciliations.
- Process vendor invoices, collect W-9s, verify coding, and ensure timely payments.
- Prepare customer invoices, monitor collections, and track payment status.
- Support weekly and monthly financial reporting, including cash flow updates and expense summaries.
- Assist with budget tracking and job-cost reporting across active projects.
- Reconcile credit card statements, receipts, and company expense reports.
- Support coordination with outsourced accounting partners or CPA firm as needed.
- Monitor and organize financial documentation for audits, compliance, and internal reviews.
- Assist with project setup, including creating job folders, uploading documentation, and entering project budgets or coding into systems.
- Coordinate financial aspects of projects such as subcontractor invoices, change order tracking, purchase orders, and lien waivers.
- Maintain organized digital and physical filing systems for contracts, insurance documents, financial records, and project files.
- Support communication between subcontractors, vendors, and internal team members on document or payment-related needs.
- Track project deliverables and follow up on required documentation (COIs, W-9s, schedule updates, pay apps, etc.).
- Assist with preparing project status summaries and financial snapshots for leadership review.
- Help streamline office processes, document workflows, and administrative systems.
- Provide timely financial updates to the CEO and leadership team, identifying risks, discrepancies, or needed follow-up.
- Participate in team meetings and project discussions, offering bookkeeping insights related to costs, vendor status, and budgets.
- Support implementation of new financial processes, technology tools, and administrative systems to drive efficiency.
- Uphold BC Mason Group’s commitment to accuracy, organization, and professional service to clients, vendors, and partners.
- 3–5 years of bookkeeping experience; construction industry experience highly preferred.
- Strong understanding of accounting principles, financial recordkeeping, and job-cost tracking.
- Proficiency in accounting software (Quick Books Online preferred), Microsoft Excel, Word, and Outlook.
- Experience working with invoicing, AP/AR, reconciliations, and vendor compliance documentation.
- Highly organized with strong attention to detail and ability to maintain accurate records.
- Excellent communication and interpersonal skills; comfortable interacting with vendors, subcontractors, and team members.
- Ability to manage multiple tasks and deadlines in a fast-paced environment.
- Experience with project coordination or administrative support roles preferred but not required.
- Associate’s or Bachelor’s degree in Accounting, Business, or related field preferred.
Physical Requirements
- Work performed primarily in an office setting with regular interaction with project teams and vendors.
- Must be able to remain seated for extended periods while performing computer-based work.
