Senior Executive Assistant - Hybrid

This is a hybrid position based at our corporate office in Brentwood, TN, with on-site work required Monday through Wednesday.

GENERAL SUMMARY OF DUTIES

The Senior Executive Assistant provides high-level administrative and strategic support to the executive leadership team, with primary responsibility for supporting the CEO and other C‑suite leaders. This role requires exceptional judgment, discretion, and organizational skills. The Senior Executive Assistant serves as a trusted advisor and liaison, ensuring the executive office operates efficiently and that priorities, communications, and projects are effectively managed.

TO

Reports directly to the VP, Human Resources. Dotted‑line support to the executive leaders as needed.

ESSENTIAL FUNCTIONS
  • Manage C‑Suite’s calendar, including prioritization of meetings, alignment of commitments, and proactive conflict resolution.
  • Coordinate complex travel and event logistics for the CEO and executive leadership team.
  • Serve as the primary point of contact for internal and external stakeholders, ensuring timely and professional communication.
  • Develop and maintain organized systems for managing confidential files, records, and correspondence.
  • Draft and edit high-level communications, policies, and reports for executives.
  • Track deliverables, deadlines, and decisions made by the executive team, ensuring accountability across departments.
  • Safeguard confidential and sensitive information with the highest ethical standards.
  • Support compliance initiatives, ensuring executive communication and documentation align with applicable policies, regulations, and organizational standards.
  • Manage and guide other administrative professionals across the organization, promoting best practices and consistency.
  • Manage sensitive and complex situations with diplomacy, professionalism, and discretion.
  • Coordinate strategic projects and cross-functional initiatives, ensuring alignment, accountability, and timely follow‑up.
  • Prepare board‑level presentations, executive summaries, and briefing materials requiring advanced analytical, writing, and design skills.
  • Represent the executive office in meetings, when appropriate, to capture key outcomes and ensure follow‑through.
  • Act as a bridge between leadership and staff, facilitating clear communication and reinforcing company culture.
EDUCATION/REQUIREMENTS
  • Minimum of 7–10 years’ experience providing executive‑level administrative support, with at least 5 years supporting C‑suite executives.
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other collaboration tools (Teams, SharePoint, Concur).
  • Exceptional written and verbal communication skills, with the ability to draft and edit executive‑level materials.
  • Strong organizational skills, project management capability, and ability to manage multiple priorities with accuracy and speed.
  • Demonstrated ability to handle confidential information with discretion and integrity.
