We’re looking for an efficient personal assistant who can help us improve our productivity. Your responsibilities will include relaying messages from phone calls and emails, delivering and picking up orders, scheduling and taking minutes for meetings, maintaining records, and performing additional tasks as assigned. Responsibilities- Plan meetings, take notes and distribute meeting minutes to ensure we stay organized
- Pick up deliveries and run errands as needed
- Make travel arrangements including flight, hotel, and transportation
- Do other assigned tasks as needed
- Set up meeting spaces when guests arrive to make people feel welcome
- Draft offers, counteroffers, buyer representation/listing agreements, and other real estate documents under agent direction
- Prepare, organize, print, and manage transaction paperwork
- Assist with file compliance and document organization
- Send weekly update emails to sellers
- Respond to client inquiries that require research and follow-up
- Conduct outreach to other agents
- Perform property research and deep dives for new listings
- Schedule and coordinate marketing shoots (photography, videography, etc.)
- Print and prepare listing materials and marketing collateral
- Place signs and lockboxes for listings and open houses
- Schedule showings and put together showing schedules
- Conduct property showings for clients as needed
- Prepare and deliver appraisal packages
- Order and coordinate closing gifts and client appreciation items
- Deliver client gifts, closing gifts, or other personal touches
- Handle miscellaneous tasks, research, and problem-solving to support agents and clients
- Support and guidance were provided for obtaining a real estate license

- Proficient in Microsoft Office
- Candidates must have a high school diploma or GED
- Ability to work independently
- Prior work experience as a personal assistant, executive secretary, executive assistant, administrative assistant, or related job experience performing personal assistant duties
- Excellent interpersonal skills and time management skills
- Does not need to be currently licensed, but willing and able to obtain a real estate license
- Strong organizational skills and attention to detail
- Excellent written and verbal communication skills
- Ability to manage multiple priorities in a fast-paced environment
Compensation: $20 hourly
