We are seeking a highly polished, proactive, and resourceful Executive Assistant to provide comprehensive support to a C-level executive. This role requires exceptional judgment, discretion, and the ability to manage competing priorities in a fast-paced, high-performance environment.
The ideal candidate is organized, detail-oriented, and confident in managing complex schedules, sensitive information, and executive-level communications. Success in this role requires strong initiative, professionalism, and the ability to anticipate needs before they arise.
Responsibilities- Manage and optimize the executive’s complex calendar, balancing internal priorities, client meetings, board obligations, and strategic initiatives with precision and sound judgment.
- Coordinate domestic and international travel arrangements, including detailed itineraries, transportation, accommodations, and contingency planning.
- Serve as a gatekeeper and liaison, managing communications on behalf of the executive and ensuring timely follow-up on key matters.
- Prepare and edit high-level correspondence, presentations, reports, and board materials with accuracy and attention to detail.
- Organize and support executive meetings, including agenda development, materials preparation, note-taking, and follow-up on action items.
- Handle sensitive and confidential information with the highest level of discretion and professionalism.
- Partner cross-functionally with leadership, clients, and external stakeholders to ensure alignment and seamless coordination.
- Track projects, deadlines, and strategic initiatives, proactively ensuring progress and accountability.
- Process expense reports, invoices, and other administrative documentation promptly.
- Support special projects and firm-wide initiatives as directed by the executive.
- 5+ years of executive-level administrative support experience (C-suite support preferred)
- Exceptional organizational and time-management skills
- Strong written and verbal communication abilities
- High level of discretion and integrity
- Advanced proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint)
- Ability to manage multiple priorities with composure and professionalism
