Administrative Services Assistant 4

The Tennessee Department of Health is seeking an Administrative Services Assistant 4 to support the Division of Family Health & Wellness, including the Mortality Reduction Program, Child Fatality Review Program, Perinatal Regionalization, Perinatal Telehealth, and Rural Fetal & Infant Health Initiative (RFIHI).

This role provides administrative, operational, fiscal, and program coordination support for section staff, contractors, and community partners.

Key Responsibilities
  • Provide administrative support to the Perinatal and Infant Section.
  • Coordinate meetings, trainings, travel arrangements, and staff schedules.
  • Support advisory committees and collaborative meetings, including scheduling, agenda preparation, minute-taking, transcription, and record maintenance.
  • Assist with contracts, invoices, budgets, purchase requests, purchasing, shipping, and grant tracking.
  • Maintain fiscal and administrative records in compliance with state and federal requirements.
  • Coordinate invoice processing and payments with fiscal and contract teams.
  • Prepare reports, presentations, correspondence, and meeting materials.
  • Maintain organized electronic and hard-copy files and records.
  • Support stakeholder communications and community partnership activities.
  • Handle confidential information in accordance with TDH policies.
  • Perform additional administrative and program support duties as assigned.
Required Qualifications
  • Associate’s or Bachelor’s degree from an accredited college or university.
  • Preferred:
    Minimum two (2) years of administrative, operational, or fiscal support experience.
  • Strong organizational, communication, and documentation skills.
  • Proficiency with Microsoft Office Suite and meeting coordination.
