Overview
We are seeking a super‑star multitasker with strong administrative skills to support our business across multiple locations. The Administrative and Clerical positions support various functions nationwide.
ResponsibilitiesThe Office Coordinator tracks and processes accounts payable invoices and oversees payroll supervision, ensuring timely and accurate employee payments.
EssentialJob Responsibilities
- Process payroll per the operations payroll schedule, distribute checks, and communicate discrepancies to the business center.
- Collect and review employee punch correction forms and/or manual timesheets; obtain supervisor approval and submit weekly to the Resource Center.
- Distribute Workforce Timekeeper Employee Time Detail and other payroll reports to supervisors for review.
- Collect and review employee mileage forms; obtain approval and submit weekly.
- Process accounts payable invoices: code to General Ledger, run weekly reports, and submit for payment.
- Collect PCard receipts weekly and reallocate expenses as required.
- Assist with processing client funds requests as needed.
- Perform general office duties: prepare correspondence, order supplies, and coordinate office equipment maintenance.
- Maintain purchase cards, obtain spend‑down and receipts weekly, reconcile to bank statements, secure Executive Director approval, and retain for audit.
- Prepare and submit source forms for new locations, relocations, lease renewals, and other property updates.
- Ensure retention of business documents per policy.
- Perform other duties as assigned.
- Two years of related office management or bookkeeping experience.
- Strong verbal and written communication skills with all levels of personnel.
- Experience managing systems, processes, and people.
- Ability to work independently and as part of a team.
- Capability to handle highly confidential information responsibly.
- Must meet all agency pre‑employment requirements per company or state regulations.
- Completed at least two years of relevant college coursework or prior Accounts Receivable or Accounts Payable experience, or an equivalent combination of education and experience.
- Valid driver’s license from state of residence with a satisfactory driving record as defined by company vehicle policy or liability insurance carrier.
USD $16.00 – $18.00 per hour.
