Job Title
Marketing Coordinator
OverviewThe Marketing Coordinator serves as the administrative and operational backbone of the Warner Records Nashville marketing department.
The role supports senior marketing leaders, manages daily operational tasks, and coordinates finance, logistics, and communications for artists, campaigns, and touring events.
- Own Invoice & Financial Processing:
Act as the central contact for all marketing‑related invoices, purchase orders, and vendor setups. Ensure strict compliance with corporate guidelines and internal budgets. - Provide Full‑Department Administrative Support:
Manage day‑to‑day office tasks, including scheduling, planning, and logistics for high‑level meetings. - Support Roster Logistics & Campaigns:
Assist marketing leads with execution logistics for single, EP, and album rollouts, including printing and distribution of mailers and promotional materials. - Facilitate Touring & Event Operations:
Provide administrative and logistical assistance to the Manager of Touring & Events, coordinating ticket purchases, guest lists, fan experiences, showcase logistics, and on‑site event support. - Coordinate Cross‑Functional Communications:
Serve as a reliable internal hub, routing department updates and meeting agendas to keep the team aligned and efficient.
- Minimum of 1–2 years of administrative, financial, or coordinator experience within a record label, entertainment company, agency, or corporate environment.
- Proficiency with financial tracking systems, invoice processing, and departmental budget management.
- Exceptional organizational skills with a flawless eye for detail; ability to manage multiple administrative requests simultaneously.
- Strong digital literacy, including Excel/Google Sheets, presentation tools (Keynote/PowerPoint), and project‑management software.
- Self‑starting, problem‑solving attitude with a native ability to anticipate the needs of a busy executive team.
- Outstanding communication skills and professional poise necessary to interact with vendors, managers, and external business partners.
- Desire to learn the operational inner workings of the Nashville music community and a genuine passion for the Country genre.
This position requires a minimum of 4 days per week in the office. In‑office collaboration is essential for talent development and strong working relationships.
