Administrative Services Manager
We are seeking an experienced Administrative Services Manager to provide advanced administrative and fiscal support for Maternal and Child Health (MCH) grants funded through the Rural Health Transformation Program. This lead-level position is responsible for managing grant administration, fiscal tracking, compliance documentation, and supervising administrative staff while ensuring efficient program operations.
Key Responsibilities
- Serve as the lead administrative and fiscal support for Maternal and Child Health (MCH) grant programs.
- Monitor grant budgets, expenditures, invoices, and spend-downs to ensure fiscal accountability and sustainability.
- Review and process invoices and supporting documentation for compliance before submission.
- Coordinate with fiscal and contracts teams to resolve payment discrepancies and ensure timely invoice processing.
- Supervise, mentor, and support an Administrative Assistant, including task assignments, training, and quality assurance.
- Maintain accurate grant documentation and records in compliance with applicable federal and state regulations.
- Provide administrative support to program leadership, including scheduling, reporting, and coordination of program activities.
- Ensure organized recordkeeping and support grant reporting requirements.
- Assist with program operations and administrative initiatives to improve efficiency and compliance.
Required Qualifications
- Associate's or Bachelor's degree from an accredited college or university.
- Minimum of 2 years of experience providing administrative or fiscal support for grant-funded programs.
- Experience tracking budgets, invoices, financial documentation, and grant expenditures.
- Strong organizational, communication, and administrative coordination skills.
- Proficiency with Microsoft Office Suite, including Excel, Word, and Outlook.
- Ability to manage multiple priorities while maintaining accuracy and compliance.
Preferred Qualifications
- Previous supervisory or team lead experience.
- Experience supporting government, healthcare, or public health grant programs.
- Knowledge of grant compliance requirements and financial reporting.
- Familiarity with federal grant regulations and documentation standards.
- Experience working with cross-functional teams, contracts, and fiscal operations.
