About the Opportunity- Office Administrator / Purchasing Coordinator
Our client is seeking a detail-oriented Office Administrator / Purchasing Coordinator to support purchase orders, project coordination, and administrative functions in a fast-paced office environment. This role is ideal for someone who enjoys managing details, working with vendors, tracking orders, and ensuring documentation is accurate and organized. This is a 100% on-site, temp-to-hire opportunity with long-term potential.
Key Responsibilities- Office Administrator / Purchasing Coordinator
- Create purchase orders from Bills of Material (BOMs) and coordinate material orders through distributors
- Track materials and equipment from purchase through delivery, ensuring timely updates on order status
- Communicate delivery schedules and status updates to Service Coordinators and Project Managers
- Compile timesheets and job information to support customer billing processes
- Assist with invoice and billing documentation preparation
- Maintain filing systems for test results, project records, and related documentation
- Provide administrative support to the Service Supervisor and office team
- Ensure purchasing and project documentation is accurate, complete, and up to date
- Office Administrator / Purchasing Coordinator
- Previous experience in purchasing, administrative support, accounts payable, billing support, or office coordination
- Experience creating and managing purchase orders preferred
- Strong attention to detail and ability to accurately track orders, invoices, and documentation
- Excellent organizational, follow-up, and time management skills
- Comfortable working with numbers, timesheets, and purchasing records
- Proficiency with Microsoft Office and general office software applications
- Ability to manage multiple priorities and follow tasks through to completion
- Experience supporting service, operations, logistics, construction, skilled trades, or related environments is a plus
- Ability to work on-site in Nashville, TN on a full‑time basis
