Description

The Part-Time Mail Center Assistant supports the daily operations of the University Mail Center by receiving, sorting, processing, and distributing incoming and outgoing mail and packages for students, faculty, staff, and university departments. This position requires excellent customer service, attention to detail, organizational skills, and the ability to work efficiently in a fast-paced environment.

Essential Duties and Responsibilities

Daily Mail Processing

  • Receive, sort, and distribute incoming U.S. Mail, interoffice mail, and package deliveries.
  • Process outgoing mail, including metering, weighing, labeling, and preparing items for shipment.
  • Verify and route mail to the appropriate departments, offices, residence halls, or recipients.
  • Maintain accurate records of incoming and outgoing packages using mail tracking software and scanning devices.
  • Assist with package check-in and check-out procedures.

Customer Service

  • Provide courteous and professional service to students, faculty, staff, and campus visitors.
  • Assist customers with package pickup, mail inquiries, and shipping questions.
  • Verify customer identification before releasing packages or accountable mail.
  • Resolve routine delivery and tracking issues and refer complex concerns to the supervisor.

Package Handling and Distribution

  • Load, unload, and transport mail and packages safely throughout campus.
  • Deliver mail and packages to designated campus departments and offices.
  • Organize packages in designated storage areas for efficient retrieval.
  • Monitor package inventory and report discrepancies or damaged shipments.

Administrative and Operational Support

  • Maintain accurate logs and records of mail center activities.
  • Ensure compliance with postal regulations, university policies, and security procedures.
  • Assist with inventory management of shipping supplies and mail center materials.
  • Operate mail processing equipment, postage meters, scanners, and related office equipment.
  • Keep work areas clean, organized, and safe.

Additional Duties

  • Assist with special mailings, bulk mail projects, and campus events requiring mail services.
  • Support peak periods such as semester move-in, move-out, and holiday shipping seasons.
  • Perform other related duties as assigned.

Qualifications

Required Qualifications

  • High school diploma or equivalent.
  • Strong customer service and communication skills.
  • Basic computer proficiency, including email and data entry.
  • Ability to follow detailed instructions and maintain confidentiality.
  • Strong attention to detail and organizational skills.
  • Ability to work independently and as part of a team.

Preferred Qualifications

  • Previous experience in mail services, shipping, logistics, warehouse operations, or customer service.
  • Experience using package tracking systems and scanning devices.
  • Familiarity with USPS, UPS, Fed Ex, or other shipping carrier procedures.

Physical Requirements

  • Ability to stand, walk, bend, and lift throughout the workday.
  • Ability to lift and carry packages up to 40 pounds regularly.
  • Ability to push loaded carts and move mail containers safely.
  • Ability to work in a warehouse or mailroom environment with varying activity levels.

Work Schedule

  • Part-time position, typically 15-29 hours per week.
