ABOUTTHE ROLE
This is the right-hand seat to our CEO. You will own the calendar, the inbox, the travel, and the follow-through that keep a demanding client-facing schedule running without friction — and you will go a step further, providing hands-on support to business development and marketing: formatting proposals and client materials, keeping the CRM clean, and helping our brand show up consistently.

You have supported senior executives in an environment where priorities shift, structure is still being built, and no one hands you a playbook — a consulting or advisory firm, a professional-services shop, or a fast-growing company. You anticipate rather than react. You are unusually organized, write and edit at an executive level, and you close loops without being chased. You handle confidential information the way a firm like ours needs it handled.
WHATYOU'LL DO Executive Support & Calendar Management
- Own and actively manage the CEO's calendar — scheduling, sequencing, and protecting time against competing client, internal, and business development demands.
- Anticipate conflicts and resolve them proactively; make judgment calls on priority when the CEO is unavailable.
- Prepare the CEO for every meeting: agendas, background on attendees, prior correspondence, and the materials needed to be effective.
- Track the commitments the CEO makes and drive them to closure with internal and external parties.
- Manage and triage the CEO's inbox — prioritizing, drafting responses, and routing items to the right owner.
- Draft, proofread, and format correspondence, memos, and presentations on the CEO's behalf.
- Coordinate internal and client meetings end to end: scheduling, logistics, materials, notes, and action-item follow-up.
- Serve as a professional, polished first point of contact for clients, prospects, and partners.
- Plan and book domestic travel — flights, hotels, ground transportation — and build detailed itineraries with contingencies.
- Process and reconcile expense reports and corporate card activity; track receipts and support the finance close.
- Manage vendor relationships, subscriptions, and administrative accounts on behalf of the executive office.
- Assemble, format, and proofread proposals, pitch materials, and client deliverables to firm brand standards.
- Maintain CRM () hygiene — logging activity, updating contacts and pipeline records, and running basic reports for the CEO.
- Coordinate marketing execution: schedule and post content, maintain the firm's Linked In presence, and support email campaigns and event outreach.
- Maintain a library of templates, bios, case studies, and credentials so client-facing materials can be produced quickly and consistently.
